Job Description
Provides administrative and operational support in an office setting, including greeting visitors, managing schedules, coordinating events, handling correspondence, and supporting staff to ensure smooth daily operations and a welcoming environment.
Key Responsibilities
- Greet and assist visitors, staff, and vendors to create a welcoming front-of-house experience
- Serve as the first point of contact at the front desk, ensuring a professional and welcoming presence
- Answer incoming phone calls and direct inquiries to appropriate team members or departments
- Manage calendars, schedule meetings, and coordinate travel arrangements for staff
- Take meeting notes and prepare or review expense reports
- Coordinate and execute internal office events, including arranging external services such as catering and supplies
- Maintain inventory and organization of office and hospitality supplies
- Support onboarding of new staff and assist with hospitality services
- Train and mentor new receptionist or office staff
- Manage incoming and outgoing mail and packages
- Support administrative tasks using software like Microsoft Office
- Manage confidential information with discretion and professionalism
- Ensure compliance with record retention policies
- Identify and escalate issues or inefficiencies for resolution
Requirements
- Minimum of two years of related experience in an administrative or office support role.
- Minimum High School Diploma or GED required; Associates degree in a relevant field preferred.
- Experience working in a professional services firm preferred.
- Excellent verbal and written communication skills.
- Strong attention to detail and focus on accuracy with work.
- Ability to work in a highly collaborative and deadline-driven environment.
- Proficiency in Microsoft Office Suite required.
- Ability to lift up to 30 pounds.
