Provides administrative and operational support in an office setting, including greeting visitors, managing schedules, coordinating events, handling correspondence, and supporting staff to ensure smooth daily operations and a welcoming environment.
Key Responsibilities
Greet and assist visitors, staff, and vendors to create a welcoming front-of-house experience
Serve as the first point of contact at the front desk, ensuring a professional and welcoming presence
Answer incoming phone calls and direct inquiries to appropriate team members or departments
Manage calendars, schedule meetings, and coordinate travel arrangements for staff
Take meeting notes and prepare or review expense reports
Coordinate and execute internal office events, including arranging external services such as catering and supplies
Maintain inventory and organization of office and hospitality supplies
Support onboarding of new staff and assist with hospitality services
Train and mentor new receptionist or office staff
Manage incoming and outgoing mail and packages
Support administrative tasks using software like Microsoft Office
Manage confidential information with discretion and professionalism
Ensure compliance with record retention policies
Identify and escalate issues or inefficiencies for resolution
Requirements
Minimum of two years of related experience in an administrative or office support role.
Minimum High School Diploma or GED required; Associates degree in a relevant field preferred.
Experience working in a professional services firm preferred.
Excellent verbal and written communication skills.
Strong attention to detail and focus on accuracy with work.
Ability to work in a highly collaborative and deadline-driven environment.
Proficiency in Microsoft Office Suite required.
Ability to lift up to 30 pounds.
