Job Description

Provides administrative and operational support in an office setting, including greeting visitors, managing schedules, coordinating events, handling correspondence, and supporting staff to ensure smooth daily operations and a welcoming environment.

Key Responsibilities

  • Greet and assist visitors, staff, and vendors to create a welcoming front-of-house experience
  • Serve as the first point of contact at the front desk, ensuring a professional and welcoming presence
  • Answer incoming phone calls and direct inquiries to appropriate team members or departments
  • Manage calendars, schedule meetings, and coordinate travel arrangements for staff
  • Take meeting notes and prepare or review expense reports
  • Coordinate and execute internal office events, including arranging external services such as catering and supplies
  • Maintain inventory and organization of office and hospitality supplies
  • Support onboarding of new staff and assist with hospitality services
  • Train and mentor new receptionist or office staff
  • Manage incoming and outgoing mail and packages
  • Support administrative tasks using software like Microsoft Office
  • Manage confidential information with discretion and professionalism
  • Ensure compliance with record retention policies
  • Identify and escalate issues or inefficiencies for resolution

Requirements

  • Minimum of two years of related experience in an administrative or office support role.
  • Minimum High School Diploma or GED required; Associates degree in a relevant field preferred.
  • Experience working in a professional services firm preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and focus on accuracy with work.
  • Ability to work in a highly collaborative and deadline-driven environment.
  • Proficiency in Microsoft Office Suite required.
  • Ability to lift up to 30 pounds.
