Job Description
The Senior Director of Program Operations at the U.S. Energy Foundation is responsible for overseeing programmatic budget management, improving operational systems, leading cross-team collaboration, and supervising a team to support the organization's mission of advancing a clean and equitable energy future through strategic program and operational leadership.
Key Responsibilities
- Oversee and manage the programmatic grantmaking budget, including allocations, tracking revenue, and ensuring fiscal health.
- Track and report progress on institutional and programmatic strategies using KPIs and impact dashboards.
- Support development and submission of grant reports and deliverables, including managing related data and responding to funder inquiries.
- Lead the organization’s annual strategic planning process and facilitate cross-team meetings and conferences.
- Coordinate and communicate with other departments to ensure clarity on priorities, decisions, and timelines, promoting cross-team collaboration.
- Supervise the Program Operations team, supporting their professional development and ensuring effective team management.
- Lead special projects to improve grantmaking processes and operational efficiency.
- Partner with the Programs and Equity teams to integrate inclusion and equity metrics into organizational strategies.
Requirements
- Experience managing the organization’s approximately 200 million dollar programmatic grantmaking budget, including managing allocations across programs, tracking incoming revenue, and ensuring overall fiscal health, with the ability to communicate the budget and fiscal health to staff and the Board of Directors, and experience with budget management in Salesforce.
- Proven ability to lead the annual budget development process, ensuring effective allocation, reconciliation, and implementation of budgets.
- Experience tracking progress against institutional and programmatic strategies via key performance indicators (KPIs), overseeing data collection systems, and communicating progress through tools such as a Program Dashboard.
- Ability to support grant reporting by ensuring the Program team accomplishes components of grant reports and deliverables, developing and managing content for reporting tools and dashboards, and responding to funder inquiries with Salesforce data.
- Experience managing the organizational calendar to communicate and maintain clear deadlines for deliverables related to strategic partnerships and grant reporting.
- Experience managing EF’s annual strategic planning processes, including overseeing resources and developing systems to track priorities, deadlines, and opportunities, and communicating this information to the Board and internal audiences.
- Ability to design and facilitate meetings such as monthly Program team meetings, bi-annual in-person team conferences, and other cross-team leadership meetings.
- Proven ability to serve as the lead point of contact between the Program team and other departments (Finance, Grants, IT, People and Culture, Strategic Partnerships), ensuring clear communication of priorities, decisions, and timelines, and translating complex information for diverse audiences.
- Experience supervising a team of at least three full-time employees and consultants, supporting their professional growth and embodying organizational values of transparency, equity, accountability, and transformational impact.
- Experience leading or managing special projects within a dynamic organization, including delegation and coordination of project tasks.
- Ability to partner with the Programs and Equity team to advance organizational mission, including managing the integration of inclusion into planning and reporting inclusionary metrics.
- Demonstrated expertise in operations, with an aptitude for streamlining and improving business processes and systems, and a detail-oriented approach to leading teams to deliver organizational priorities.
- Significant experience managing complex budgets, including designing systems for resource stewardship, budget forecasting, and revenue management, with the ability to convey financial data in a manner that links to organizational strategy and impact.
- Fluency in budget planning tools and relevant technologies, with experience in Salesforce highly preferred.
- Proven diplomatic and problem-solving skills in a multi-stakeholder environment, with experience building collaborative relationships and leading cross-cultural teams.
- Experience supervising and developing talent internally, leading teams to execute organizational priorities, and working effectively in remote and in-person settings with minimal supervision.
- Deep project management experience managing multiple complex projects simultaneously, including identifying opportunities for efficiency, translating organizational goals into actionable plans, and ensuring stakeholder engagement.
- Advanced skills in Microsoft Excel, Word, PowerPoint, and Outlook, preferably in a Mac environment.
- Experience creating documents and managing workflows in collaborative platforms such as Google Drive, Asana, and Box.
- Experience using cloud-based relational database systems, such as Salesforce.
- Ability to travel four to six times a year for two to four business days at a time.
- Ability to perform extended hours at the computer and meet physical demands associated with the role, with reasonable accommodations available for individuals with disabilities.
- Ability to work in a remote-first environment, with flexibility to work from any location within the U.S., and adapt to office environments with shared workspaces and moderate noise levels.
