Job Description
The Policy Associate for Power supports grant administration, manages relationships with grantees and partners, and assists in implementing strategies to advance clean energy policies and projects within the U.S. Energy Foundation's initiatives.
Key Responsibilities
- Manage the full grant cycle, including proposal review, compliance, and approval processes.
- Process proposals, reports, grants, contracts, invoices, and reimbursements accurately in tracking systems.
- Conduct due diligence on grant proposals and prospective grantees, engaging directly with applicants.
- Research and solicit proposals from potential new grantees.
- Coordinate and facilitate meetings with grantees, consultants, funders, and internal teams.
- Support budget management, including tracking, reconciliation, and financial oversight of grants.
- Foster internal team coordination and support collaboration through systems and meetings.
- Prepare and draft documents, presentations, and reports for internal and external audiences.
- Represent EF and the Power program at meetings, conferences, and events.
- Build and maintain relationships with grantees, partners, and external stakeholders.
Requirements
- Experience supporting multiple priorities and juggling a variety of tasks for one or more individuals in a team environment.
- Highly organized with keen attention to detail.
- Exceptional time management skills.
- Aptitude for written, verbal, and digital communications skills.
- Proficient at handling multiple demands and supporting multiple priorities simultaneously.
- Demonstrated knowledge and experience in customer service and the ability to thrive in a fast-paced work environment.
- Interest in one or more of the following areas: the philanthropic sector, the non-profit sector, issue campaigns, public policy, strategic communications, or renewable energy and the electric grid.
- Experience supporting grantmaking processes, including processing proposals, reports, grants, contracts, invoices, and reimbursements in a grants tracking system.
- Experience reviewing grant proposals to ensure content is complete and appropriate, and verifying that all required documents are included.
- Experience conducting due diligence on proposals and prospective grantees, engaging directly with grantees and consultants to address questions, gather additional information, and request revisions as necessary.
- Ability to research and solicit proposals from potential new grantees with minimal assistance.
- Ability to collect, track, and synthesize grantee insights for use in reports.
- Ability to prepare drafts of documents and presentations for internal and external audiences, such as board dockets, funder reports, proposals, and presentations.
- Experience managing program budgets and reconciling budgets to actuals for cross-programmatic grants.
- Ability to foster effective coordination and integration within a team, including using collaboration tools such as Asana, Slack, and supporting regular team check-ins.
- Ability to schedule calls and meetings, handle meeting logistics, prepare agendas, circulate materials, and support meeting follow-up.
- Ability to develop and maintain collaborative relationships with peers and colleagues, contributing to a positive and inclusive work environment.
- Experience training new employees on grantmaking processes.
- Ability to develop a personal learning and development plan and seek professional growth opportunities.
- Ability to represent the organization at meetings, conferences, and other events as agreed upon with supervisor.
- Ability to facilitate networking and information-sharing between diverse grantees, consultants, and national groups or experts.
- Willingness and ability to travel two to four times a year for three to four business days at a time.
- Physical ability to spend extended hours at the computer.
- Ability to work in a remote-first environment, with flexibility to work from any location within the U.S.
- Familiarity with Microsoft Excel, Word, PowerPoint, and Outlook, preferably in a Mac environment.
- Familiarity with Google Drive, Docs, Sheets, and the Box platform.
- Experience using cloud-based relational database systems, such as Salesforce, is a plus.
