Job Description
The Senior Director of Program Operations at the U.S. Energy Foundation is a leadership role responsible for managing programmatic budgets, streamlining organizational systems, overseeing team operations, and fostering cross-departmental collaboration to support the organization's mission of advancing clean and equitable energy policies.
Key Responsibilities
- Oversee and manage the programmatic grantmaking budget, including allocations, tracking revenue, and ensuring fiscal health.
- Track and report progress on organizational and programmatic strategies through KPIs and impact dashboards.
- Support development and reporting efforts by ensuring timely grant reports, managing reporting tools, and responding to funder inquiries.
- Lead annual strategic planning processes, including tracking priorities, deadlines, and opportunities, and communicate with the Board.
- Coordinate cross-team collaboration by serving as the main liaison between the Program team and other departments, ensuring clear communication and alignment.
- Supervise the Program Operations team, supporting their professional development and ensuring effective team management.
- Lead special projects to improve operational efficiency and support organizational growth.
- Partner with the Equity team to integrate inclusion metrics into program strategies and reporting.
Requirements
- Experience managing the organization’s approximately 200 million dollar programmatic grantmaking budget, including managing allocations across programs, tracking incoming revenue, and ensuring overall fiscal health, with the ability to communicate the budget and fiscal health to staff and the Board of Directors, and transitioning to budget management in Salesforce.
- Proven ability to lead the annual budget development process, ensuring effective allocation, reconciliation, and implementation of budgets.
- Experience tracking progress against institutional and programmatic strategies via key performance indicators (KPIs), overseeing data collection systems, and communicating progress through tools such as a Program Dashboard.
- Experience supporting grant reporting processes, including developing and managing content for reporting tools and dashboards, and responding to funder inquiries with Salesforce data about grantmaking.
- Ability to manage and communicate organizational calendar deadlines related to grant deliverables and strategic planning.
- Experience managing the organization’s annual strategic planning process, including overseeing consulting resources and staff time, developing systems to track priorities and deadlines, and communicating this information to the Board and internal audiences.
- Ability to design and facilitate meetings such as monthly Program team meetings, bi-annual in-person team conferences, and other cross-team leadership meetings.
- Experience serving as the lead point of contact between the Program team and other departments (Finance, Grants, IT, People and Culture, Strategic Partnerships), ensuring clear communication of priorities, decisions, and timelines, and translating complex information across technical, operational, and strategic audiences.
- Supervisory experience managing a team of at least three full-time employees and consultants, supporting their career growth and professional development.
- Experience leading or supporting special projects within a dynamic organization, including delegation and project management.
- Ability to partner with organizational teams to advance diversity, equity, inclusion, and belonging (DEIB) initiatives, including developing, tracking, and reporting inclusionary metrics.
- Demonstrated expertise in operations, with an aptitude for streamlining and improving business processes and systems, and a detail-oriented approach to leading teams to deliver organizational priorities.
- Proven leadership skills in building effective internal partnerships, fostering clarity and transparency across functions, and driving operational efficiency while aligning with organizational mission and impact.
- Experience managing complex budgets, including budget forecasting and revenue management, with the ability to convey financial information in a manner that links data to organizational strategy and impact.
- Fluency in budget planning tools and relevant technologies, with experience using Salesforce highly preferred.
- Strong interpersonal and relationship management skills, with proven diplomatic and problem-solving abilities in multi-stakeholder environments, including experience working with cross-cultural teams.
- Experience supervising and developing talent within an organization, leading teams to execute organizational priorities.
- Deep project management experience managing multiple complex projects simultaneously, including identifying opportunities for increased efficiency, translating organizational goals into actionable plans, and ensuring stakeholder engagement.
- Technical proficiency in Microsoft Excel, Word, PowerPoint, and Outlook, preferably in a Mac environment.
- Fluency in budget management tools for managing complex budgets.
- Experience creating documents and managing workflows in collaborative platforms such as Google Drive, Asana, or Box.
- Experience using cloud-based relational database systems, such as Salesforce.
- Ability to travel four to six times a year for two to four business days at a time.
- Ability to perform extended hours at the computer and work effectively in a remote work environment.
