The role involves managing and enhancing the daily operations and physical space of Planet's Berlin office, including vendor coordination, event planning, space reconfiguration, and fostering a vibrant community environment to support employee engagement and productivity.
Key Responsibilities
Own the daily standards for reception, meeting rooms, and common areas to ensure a welcoming and functional office environment.
Manage the workflow of the Workplace Coordinator and Facilities staff, including scheduling and task allocation, and mentor their professional development.
Act as the first point of contact for service disruptions, ensuring quick resolution with minimal impact on employees.
Partner with the Manager to execute office expansions and reconfigurations, turning floor plans into functional spaces.
Coordinate internal moves in collaboration with the People Team and IT, maintaining accurate floor plans and layouts.
Create and implement communication plans for office changes to keep employees informed and supported.
Lead the planning and execution of social events and community-building activities in the Berlin office.
Requirements
6 years in Workplace, Facilities, or Hospitality management, with at least 1 year of experience in a lead or supervisory capacity.
Bachelor’s Degree or equivalent in a relevant field.
Exceptional written and verbal communication skills proven ability to distill complex, sensitive, or controversial data into clear, actionable insights for diverse audiences.
Fully bilingual in English and German, capable of switching seamlessly between both languages in written and spoken contexts, with business language proficiency in English.
Experience in managing daily standards for reception, meeting rooms, and common areas, including overseeing workflow of workplace staff and handling scheduling and task allocation.
Ability to act as the first point of contact for service disruptions, ensuring quick resolution with minimal impact on the employee experience.
Experience in executing office expansions and reconfigurations, including turning floor plans into functional realities and coordinating internal moves in partnership with People Team and IT.
Ability to create and execute communication plans for office changes to ensure employees feel informed and supported during transitions.
Experience in leading the ideation and execution of social events, ranging from happy hours and mission launches to company-wide parties.
Knowledge of export control requirements, with the ability to access U.S. and German EU export-controlled information without additional export licensing being required by German, EU, or U.S. authorities.
