Job Description

The Office Manager will support the smooth operation of Kraken's Berlin office by coordinating administrative tasks, organizing events, managing communication, and maintaining health and safety standards, all while fostering a positive company culture in a fast-paced environment.

Key Responsibilities

  • Serve as the primary contact for the Germany-based team, clients, and partners
  • Support travel and accommodation arrangements for visitors
  • Organize, host, and run internal and external events
  • Manage internal office catering and coordinate large meetings
  • Develop and execute internal events and cultural initiatives
  • Manage internal and external communication via email and Slack
  • Maintain health and safety standards in the office
  • Prepare onboarding for new hires, including managing equipment and tech inventory
  • Manage relationships with third-party service providers such as cleaners and suppliers
  • Oversee stock of branded merchandise for the office and external events
  • Create and update office-related documentation and guides

Requirements

  • Ability to commute to the Berlin office at least 4 days a week.
  • Fluency in German at C1 level.
  • Experience with health safety processes, including assigning fire wardens and championing health safety in Germany.
  • Experience in planning and hosting events, including making arrangements and executing internal and external events.
  • Strong organizational skills with an ability to manage multiple priorities quickly and efficiently.
  • Ability to handle lots of moving parts in a fast-paced, ever-changing environment.
  • Experience in managing relationships with third parties such as cleaners, suppliers, and serviced building management.
  • Experience in managing stock of branded merchandise for the office and external events.
  • Ability to prepare for new hires, including managing their equipment, shipping gear, and tracking onsite tech inventory and stock levels.
  • Experience in developing and maintaining office-related documentation and guides, including keeping Notion pages up to date.
  • Excellent stakeholder management skills, confident working with all kinds of people inside and outside the company.
  • Experience with health safety processes, including assigning fire wardens and championing health safety in Germany.
  • Experience in managing internal and external communication across email and Slack.
  • A proactive, organized, and positive attitude with a builder mentality, thriving on autonomy.
  • Willingness to learn, collaborate, and lead the cultural build of the office environment.
  • Experience shaping office culture or setting up a physical office space is a bonus but not mandatory.
