Job Description

The Manager, EPC Contracts and Document Controls is responsible for supporting contract negotiations, execution, and compliance for large-scale renewable energy projects, managing document control processes, and mitigating contractual risks to ensure project success.

Key Responsibilities

  • Support EPC contract negotiations, execution, and compliance, ensuring effective communication with stakeholders.
  • Manage and organize contract documents, revisions, and exhibit updates throughout negotiations.
  • Maintain document control of internal and external data, including transmittals, submittals, and RFIs.
  • Assist in managing EPC Contract Amendments through negotiation and execution.
  • Identify, assess, and mitigate contractual and project risks in collaboration with project management and legal teams.
  • Track and ensure contract compliance requirements are met using compliance tools like Bluepoint.
  • Oversee EPC work order LNTP issuances and monitor notices such as Force Majeure and legal changes.
  • Support project meetings, respond to contract-related questions, and assist in contract documentation and certifications.
  • Respond to contractual RFIs using Procore and manage labor statistics and union utilization data.
  • Assist in risk register reporting, change order management, and execution in coordination with finance teams.
  • Manage prevailing wage data conveyance, track remediation efforts, and report auditor findings.
  • Support lessons learned reviews and incorporate updates into contract templates and project documentation.
  • Organize and maintain project documentation within Procore and SharePoint, including drawings, specifications, and change orders.
  • Coordinate documentation for project commissioning, start-up, and handover to operations.

Requirements

  • 3-5 years of experience in Contracts and document management in support of utility-scale power generation projects.
  • Proven experience with Microsoft Office, including advanced proficiency in PowerPoint and Excel.
  • Experience with project management software.
  • Ability to work in the Salt Lake City, UT or Lake Oswego, OR office a minimum of 3 days per week.
  • Ability to travel up to 25%.
  • Applicants must be authorized to work in the United States without employer sponsorship.
  • Bachelor’s degree preferred.
  • Support the EPC team with EPC contract negotiations, execution, and compliance, including tracking of contract and exhibit revisions to and from EPC contractors, ensuring adequate organization of documents throughout negotiations.
  • Maintain document control of both internal and external data, including support in facilitating transmittals, submittals, and RFI responses.
  • Manage EPC Contract work order LNTP issuances through execution in close coordination with EPC team, legal, and commercial.
  • Track all notices from contractors such as Force Majeure, change in law, etc., to ensure socialization with appropriate stakeholders.
  • Attend EPC weekly and monthly meetings to support project managers, and be available to address EPC Contract questions and topics.
  • Respond to Contractual RFIs using Procore.
  • Manage the collection of labor statistics union utilization requested.
  • Support and assist EPCm and PM teams in risk register reporting, change order tracking, and management of change order execution in coordination with FP&A and Capital Markets teams.
  • Manage the conveyance of Prevailing Wage data from Vendors/Contractors to PWA auditors, track and manage remediation, and report results of auditor reports monthly and quarterly.
  • Assist in the management of Lessons Learned Document Reviews after each project phase and implement updates into EPC Agreement Exhibit Templates, including tracking items for discussion and version control.
  • Maintain and organize all project documentation within Procore and SharePoint, including drawings, specifications, RFIs, submittals, contracts, and change orders.
  • Implement and enforce document control procedures aligned with company standards and project requirements.
  • Coordinate and manage all documentation related to project commissioning, start-up, and final handover to the operations team.
  • Track and report on key performance indicators (KPIs) for contract management efficiency, document turnaround times, and contract compliance rates.
  • Demonstrate exceptional organizational, communication, presentation, decision-making, analytical, and time management skills.
  • Resourcefulness and polite persistence in managing contractual and project risks.
  • Support the EPC team with contract negotiations, amendments, and compliance management.
  • Proactively identify, assess, and mitigate contractual and project risks working closely with legal and project management teams.
  • Coordinate with legal, commercial, and project management teams to manage EPC Contract Amendments through negotiation and execution.
  • Support in managing lessons learned updates into EPC Agreement Exhibit Templates, including tracking and version control.
  • Coordinate and manage all documentation related to project commissioning, start-up, and final handover, ensuring comprehensive records for future operations and maintenance.
