Job Description
The role involves providing administrative and operational support in a professional office setting, including greeting visitors, managing communications, coordinating meetings and events, maintaining supplies, and supporting onboarding and office functions to ensure smooth daily operations.
Key Responsibilities
- Greet and assist visitors, staff, and vendors to create a welcoming front-of-house experience
- Serve as the first point of contact at the front desk, ensuring a professional presence
- Answer incoming phone calls and direct inquiries appropriately
- Manage calendars, schedule meetings, and coordinate travel arrangements for staff
- Take meeting notes and prepare or review expense reports
- Coordinate and execute internal office events, including arranging external services
- Maintain inventory and organization of office and hospitality supplies
- Support onboarding of new staff and assist with hospitality services
- Train and mentor new receptionist or office staff
- Manage incoming and outgoing mail and packages
- Support administrative tasks using software like Microsoft Office
- Manage confidential information with discretion
- Ensure compliance with record retention policies
- Identify and escalate issues or inefficiencies for resolution
Requirements
- Must be available to work in the office Monday through Friday and provide occasional coverage for office events in the evenings and on weekends as needed.
- Must have a minimum of two years of related experience.
- Must have a minimum High School Diploma or GED.
- Experience working in a professional services firm is preferred.
- Excellent verbal and written communication skills are required.
- Strong attention to detail and focus on accuracy with work is a must.
- Ability to work in a highly collaborative and deadline-driven environment.
- Proficiency in Microsoft Office Suite is required.
- Ability to lift up to 30 pounds.
