Job Description

The role involves providing administrative and operational support in a professional office setting, including greeting visitors, managing communications, coordinating meetings and events, maintaining supplies, and supporting onboarding and office functions to ensure smooth daily operations.

Key Responsibilities

  • Greet and assist visitors, staff, and vendors to create a welcoming front-of-house experience
  • Serve as the first point of contact at the front desk, ensuring a professional presence
  • Answer incoming phone calls and direct inquiries appropriately
  • Manage calendars, schedule meetings, and coordinate travel arrangements for staff
  • Take meeting notes and prepare or review expense reports
  • Coordinate and execute internal office events, including arranging external services
  • Maintain inventory and organization of office and hospitality supplies
  • Support onboarding of new staff and assist with hospitality services
  • Train and mentor new receptionist or office staff
  • Manage incoming and outgoing mail and packages
  • Support administrative tasks using software like Microsoft Office
  • Manage confidential information with discretion
  • Ensure compliance with record retention policies
  • Identify and escalate issues or inefficiencies for resolution

Requirements

  • Must be available to work in the office Monday through Friday and provide occasional coverage for office events in the evenings and on weekends as needed.
  • Must have a minimum of two years of related experience.
  • Must have a minimum High School Diploma or GED.
  • Experience working in a professional services firm is preferred.
  • Excellent verbal and written communication skills are required.
  • Strong attention to detail and focus on accuracy with work is a must.
  • Ability to work in a highly collaborative and deadline-driven environment.
  • Proficiency in Microsoft Office Suite is required.
  • Ability to lift up to 30 pounds.
