Job Description

The role involves providing executive support to the India Country Director and managing office administration functions to ensure smooth daily operations, including scheduling, travel arrangements, meeting preparation, and supporting strategic initiatives within a dynamic, mission-driven organization.

Key Responsibilities

  • Manage and coordinate the India Country Director's daily schedule across multiple time zones
  • Arrange and manage domestic and international travel, including itineraries and briefing packs
  • Prepare, submit, and track expense reports following organizational policies
  • Handle sensitive information with discretion and maintain accurate records and filing systems
  • Prepare meeting briefing materials and attend meetings to take notes and track action items
  • Support special projects and strategic initiatives through basic analysis and information synthesis
  • Ensure smooth office operations by liaising with vendors and IT service providers
  • Coordinate logistics for visits by senior leadership, including transportation and travel arrangements
  • Provide administrative support to the Acumen Academy team, including document management and due diligence processes
  • Support data verification, collection, and integration across organizational databases and platforms

Requirements

  • Minimum of 5 years of experience in office administration and providing executive support to senior leadership.
  • Proven ability to manage and coordinate the daily schedule of the India Country Director, balancing multiple, concurrent priorities across time zones.
  • Experience arranging and managing domestic and international travel, including ensuring clear communication of preferences and timely delivery of comprehensive travel itineraries and briefing packs.
  • Ability to prepare, submit, and track expense reports promptly following travel, in line with organizational policies.
  • Experience handling highly sensitive information with discretion and maintaining accurate records, documentation, and filing systems.
  • Ability to prepare high-quality meeting briefing materials, including background research on participants and relevant strategic context.
  • Experience attending key meetings, taking detailed notes, and proactively tracking and following up on action items.
  • Ability to support special projects and strategic initiatives, including conducting basic analysis and synthesizing information to support leadership decision-making.
  • Experience liaising closely with vendors and IT service providers to ensure the smooth functioning of the office.
  • Ability to collaborate with other office administrators and support organization-wide IT projects, implementations, and ongoing administration.
  • Experience coordinating logistics for visits by senior leadership, including local transportation and domestic travel arrangements.
  • Ability to provide administrative support to the Acumen Academy team, including coordination of signing, printing, and stamping of agreements.
  • Experience supporting due diligence processes for the Acumen Academy team, including collection and organization of documents from partner organizations.
  • Proficiency in data verification, data collection, and integration across organizational databases and platforms.
  • Strong organizational, planning, and project management skills.
  • High level of technology proficiency, including Microsoft Office (Outlook, Excel, Word) and Google Workspace, with the ability to quickly learn tools such as Slack, NetSuite, or equivalent platforms.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail with a quality-focused mindset.
  • Solutions-oriented problem solver with sound judgment.
  • Ability to work independently, take initiative, follow through on commitments, and meet deadlines consistently.
  • Permanent authorization to work in India.
