The role involves planning, coordinating, and executing global trade shows and events, managing budgets, vendors, logistics, and on-site activities to create exceptional attendee experiences and support the company's strategic marketing efforts.
Key Responsibilities
Lead the production and execution of global trade shows and events, managing budgets up to $1 million.
Coordinate and oversee logistics, creative marketing, and vendor management for events.
Manage timelines, deliverables, and communication with internal teams and third-party vendors.
Travel to and oversee on-site activities during events, including setup, support, and breakdown.
Organize and run ancillary events, hospitality programs, and post-event activities.
Requirements
Bachelor's degree from an accredited four-year institution
7-10 years of professional experience planning and leading tradeshow events
Ability and flexibility to travel up to 35% and work overtime as needed to attend events and client meetings including weekends
Physical ability to lift up to 40 pounds
Exceptional organizational and project management skills, with the ability to manage and prioritize competing projects and timelines
Strong communication and interpersonal skills for engaging with global and senior-level stakeholders
Proficiency with basic computer programs, including the Google Suite, Asana, Zoom, Slack, Cvent, and Mobile event apps
Ability to manage budgets for shows and events, including reviewing and tracking expenditures, preparing and managing budgets, and reconciling invoices and POs in a timely manner
Experience managing logistics for trade shows and events, including coordinating with vendors for drayage, electric, shipping, exhibit setup, and breakdown
Experience managing third-party vendors such as decorators, AV, catering, freight shipping, labor show unions, and show management
Experience managing on-site activities during trade shows, including exhibit setup, support during show hours, breakdown, and organizing after-hour events and transportation
Ability to organize and lead regular planning meetings across various time zones with internal teams and third-party vendors
Ability to clearly communicate objectives, project status, and updates to team members on a regular basis
Experience preparing event overview presentations, staff schedules, and coordinating staff training and show survival guides
Ability to manage small events and programs such as ancillary events and hospitality programs as needed
Ability to work from an office environment in Santa Clara, CA, Bellevue, WA, New York, NY, or Raleigh Durham, NC in accordance with company policies
