The role involves providing high-level executive support to the General Manager, including managing complex calendars, coordinating international travel, handling communications, and driving special projects to ensure efficient operations within a fast-paced, global technology environment.
Key Responsibilities
Manage and prioritize the GM's complex, high-volume calendar, including scheduling meetings and resolving conflicts
Coordinate domestic and international travel arrangements and manage related logistics
Act as the primary point of contact between the GM, leadership team, internal departments, customers, and external partners
Oversee and execute special projects, including research and event coordination from inception to completion
Proactively manage and prioritize incoming communications to ensure the GM is focused on key business priorities
Requirements
Demonstrated success in providing direct, high-level administrative support for a C-level executive or equivalent senior leadership role in a global technology company.
Proficiency in technology-driven efficiency tools across Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Microsoft Office (Word, Excel, PowerPoint), and Zoom, with the ability to swiftly master new platforms.
Experience with strategic tool utilization, including enterprise platforms such as Workday, DocuSign, and ServiceNow, and demonstrated capability to leverage modern tools, including AI tools like ChatGPT and Gemini, to streamline executive workflows.
Proven ability to handle highly confidential information with impeccable discretion and demonstrate a proactive, anticipatory approach to problem-solving.
Expert-level written and verbal communication skills, including proficiency in grammar and proofreading, and the ability to build and maintain professional relationships with stakeholders at all levels.
Ability to meticulously manage complex, high-volume calendars, strategically prioritize meetings, and resolve scheduling conflicts across global and cross-functional teams.
Experience in researching, arranging, and managing complex domestic and international travel itineraries, and processing expense reports and purchase requisitions with flawless accuracy and compliance.
Ability to serve as a primary, professional, and discrete point of contact between the General Manager, the leadership team, internal organizations, customers, and external partners.
Experience in taking ownership of team-wide special assignments, research, and event coordination from conception to successful execution, often requiring collaboration with other Executive Assistants.
Ability to proactively manage and prioritize incoming communications (email, phone, etc.) to ensure the General Manager is fully prepared and focused on mission-critical business outcomes.
Availability to work primarily in-office at the Santa Clara location in compliance with company policies, unless on PTO, work travel, or other approved leave.
