Job Description

The role involves providing high-level administrative support to a Vice President and leadership team, managing complex calendars, travel logistics, communications, and cross-functional projects to ensure operational efficiency in a fast-growing tech organization.

Key Responsibilities

  • Manage and prioritize complex calendars for the Vice President across global time zones
  • Arrange and coordinate domestic and international travel logistics
  • Process expense reports and purchase requisitions accurately
  • Act as a liaison between the executive office, internal teams, customers, and external partners
  • Provide administrative support including scheduling, event coordination, and managing team projects
  • Proactively manage and prioritize incoming communications to ensure focus on high-priority matters

Requirements

  • Proven ability to manage high-volume, dynamic calendars for senior leaders, including effective prioritization and scheduling across time zones and organizational levels.
  • Expertise across Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Concur, Microsoft Office (Word, Excel, PowerPoint), and Zoom.
  • Experience working with enterprise platforms such as Workday, DocuSign, ServiceNow, Tableau, and Greenhouse, with a proven ability to streamline workflows and solve problems quickly within these systems.
  • Experience leveraging modern tools, including AI tools like ChatGPT and Gemini, to drive administrative efficiency in a multi-tool, high-velocity environment.
  • Strong proficiency in written and verbal communication, grammar, proofreading, and handling confidential information with the utmost discretion.
  • Ability to research, arrange, and manage domestic and international travel logistics with high accuracy.
  • Ability to process expense reports and purchase requisitions accurately.
  • Ability to provide direct administrative support, including scheduling, coordinating events, and managing team-wide special projects from inception to completion.
  • Ability to proactively manage and prioritize incoming communications (emails, calls, etc.) to ensure the executive remains focused on high-priority matters.
  • Willingness to work primarily in an in-office environment at the Santa Clara office, in compliance with company policies.

Salary range: $43.80 - $66.30 USD per hour
