The role involves coordinating interview scheduling, candidate communication, and onboarding processes for EMEA-based hiring at Planet, ensuring a smooth and efficient candidate experience across multiple European time zones and supporting on-site interview logistics in Berlin.
Key Responsibilities
Own interview scheduling and coordination for all EMEA-based roles across European time zones.
Manage complex, multi-stage interview panels and ensure timely execution.
Serve as the primary point of communication for candidates throughout the interview process.
Support on-site interview logistics, including room bookings, candidate welcome, and panelist preparation at the Berlin office.
Maintain accurate scheduling and process data in applicant tracking systems and ensure real-time pipeline reporting.
Monitor and support scorecard SLA compliance by following up on feedback submissions and escalating delays.
Coordinate with global team members to share best practices and ensure process consistency.
Assist with recruiting events, job fairs, and employer branding activities at the Berlin office.
Requirements
Bachelor's Degree in a relevant field.
Experience coordinating interviews or meetings across multiple European time zones, with a strong sense of how to navigate scheduling complexity without creating bottlenecks.
Excellent organizational skills and attention to detail.
Solid written and verbal communication skills.
Experience with applicant tracking systems, with Greenhouse experience considered a plus.
Proficiency with calendar management tools and standard productivity software.
A service-oriented mindset, understanding that work directly shapes the candidate experience, with pride in making interactions smooth and professional.
Ability to work independently and prioritize competing demands in a fast-paced environment where schedules shift and urgency is the norm.
Comfort working in a global team across time zones, including partnering with colleagues in San Francisco and coordinating effectively across an 8-9 hour time difference.
At least 1 year of professional experience in recruiting coordination, HR operations, office coordination, or a similar role that required managing complex scheduling, stakeholder communication, and process execution.
Experience supporting hiring in a scaling environment where coordination volume was growing rapidly and contributing to building or improving processes to keep up.
Experience supporting pre-offer compliance workflows such as background checks, work authorization verification, or export control documentation.
Experience coordinating across both salaried professional and hourly manufacturing or operations hiring, supporting the full range of role types from a single office.
