Job Description
The position involves providing comprehensive administrative and project support to senior staff in a consulting firm, including managing client relations, billing, scheduling, and coordinating internal and external meetings, with a focus on accuracy, organization, and effective communication.
Key Responsibilities
- Provide project administration support, including conflict checks, client retention letters, project code requests, and billing processes
- Manage vendor invoices, team expense reports, check requests, and timesheets
- Maintain calendars, routine correspondence, and coordinate travel arrangements
- Oversee high-volume project billing, including preparing invoices and ensuring accuracy
- Follow up on outstanding project unbilled amounts, receivables, and write-offs
- Assist with client retention letters, statements of work, and review for accuracy
- Manage client relationship management database and support marketing and business development
- Coordinate logistics for meetings and client events
- Serve as liaison with corporate departments and handle ad hoc practice needs
Requirements
- Bachelor's degree level qualification preferred
- Minimum 3 years of relevant work experience in a support role, with experience in professional services such as consulting, law, or financial services strongly preferred
- Strong client invoicing experience, ideally with exposure to time-based and fixed price billing, in a high-volume environment
- Familiarity with financial reporting tools, with exposure to Oracle preferred
- Proven contract management capability, including editing, facilitating, and maintaining client and/or vendor retention letters
- Prior experience with client communications and outreach
- Intermediate to advanced proficiency in Microsoft Office applications Word, Excel, PowerPoint, Outlook
- Exceptional attention to detail and focus on accuracy in work product
- Energetic self-starter with strong interpersonal skills including a cooperative and professional attitude
- Displays good judgment and problem-solving skills in a fast-paced environment
- Well-organized, flexible, and capable of managing multiple priorities simultaneously
- Outstanding written and oral communication skills
- Ability to maintain client, corporate, and court-ordered confidentiality at all times
