Job Description
The Executive Assistant provides high-level administrative support to senior leaders, managing calendars, travel, meetings, correspondence, and financial processes, while ensuring effective communication and organization within a fast-paced, mission-driven environment.
Key Responsibilities
- Manage complex calendars for senior leaders, coordinate appointments, and monitor deadlines
- Prepare for meetings by creating briefing materials, gathering documents, and managing logistics
- Coordinate travel arrangements, including itineraries, reservations, and expense reports
- Review and process payments for expenses, invoices, and credit card transactions
- Draft, edit, and manage internal and external correspondence
- Maintain relationships with internal and external stakeholders to facilitate communication
- Support key priorities and organizational events as needed
Requirements
- An associate degree or equivalent experience is required.
- At least five or more years of relevant work experience is required.
- A bachelor’s degree may be substituted for 2 years of experience.
- Superb organization and follow-through skills.
- Demonstrated success as a proficient multitasker with impeccable attention to detail.
- Takes initiative, demonstrates strong critical thinking skills, and operates with discretion, maintaining the highest level of confidentiality.
- Able to work well independently and demonstrates good judgment.
- Strong written and verbal communication skills.
- Excellent interpersonal skills requiring the courtesy, tact, and diplomacy necessary to effectively communicate with staff, callers, visitors, and other stakeholders.
- Energetic and passionate about the Earth Fund’s mission.
- Ability to collaborate with staff across levels and build relationships with a variety of stakeholders.
- Comfortable in a fast-paced environment with regularly shifting priorities and able to effectively prioritize and execute many activities at once.
- Proficient in IT programs and tools such as Microsoft Office suite (Outlook, Word, Excel, PowerPoint), SharePoint, Teams, Zoom, and other collaboration platforms.
- Ability to use Chat GPT to support research and other work priorities.
- Proficiency in booking travel and coding expenses using Concur.
- Physical ability to sit at a desk and work on a computer for prolonged periods.
- May require extended and/or weekend hours for urgent issues or to meet established deadlines.
- This position is hybrid and based in Washington, D.C.
Benefits & Perks
Salary range of $95,000 to $115,000
Hybrid work environment based in Washington, D.C.
