Job Description

A part-time Office Coordinator role supporting the Nashville office, responsible for administrative tasks, office operations, vendor coordination, and ensuring a productive and organized work environment to assist a team of project and regulatory staff focused on restoration and sustainability projects.

Key Responsibilities

  • Maintain office efficiency and productivity by managing resources and support systems
  • Coordinate facility and vendor needs, including maintenance, repairs, security, and office improvements
  • Organize meetings, seminars, conferences, and catering arrangements
  • Support document filing and records organization for invoices, contracts, and important materials
  • Assist with preparation of regulatory documents and office support services
  • Manage mail distribution and handle special administrative projects
  • Perform data entry and internet research tasks

Requirements

  • At least 3 years of administrative or office coordinator support experience in an office setting
  • Experience supporting multiple internal stakeholders and coordinating office operations
  • Strong written, verbal, and visual communication skills
  • Proven ability to take initiative in an environment of change and growth
  • Strong attention to detail and ability to manage multiple tasks and priorities
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Experience coordinating vendors and office support services
  • Comfort assisting with data entry, internet research, and special administrative projects
  • Experience coordinating meetings, seminars, conferences, and catering
