The role involves providing high-level administrative support to Vice Presidents and their teams, managing complex calendars, travel logistics, communications, and cross-functional coordination to ensure executive efficiency and seamless operations within a fast-growing tech organization.
Key Responsibilities
Manage complex calendars for executives across global time zones
Arrange and coordinate domestic and international travel logistics
Process expense reports and purchase requisitions accurately
Act as a liaison between the executive office, internal teams, customers, and external partners
Provide administrative support including scheduling, event coordination, and project management
Prioritize and manage incoming communications to ensure focus on high-priority matters
Requirements
Proven experience in managing high-volume, dynamic calendars for senior leaders, including effective prioritization and scheduling across multiple time zones and organizational levels.
Expertise in using advanced software and tools such as Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Concur, Microsoft Office (Word, Excel, PowerPoint), and Zoom.
Experience working with enterprise platforms like Workday, DocuSign, ServiceNow, Tableau, and Greenhouse, with the ability to streamline workflows and solve problems quickly within these systems.
Experience leveraging modern tools, including AI tools such as ChatGPT and Gemini, to drive administrative efficiency in a multi-tool, high-velocity environment.
Strong proficiency in written and verbal communication, grammar, proofreading, and handling confidential information with the utmost discretion.
Ability to meticulously manage complex calendars, prioritize critical meetings, and resolve scheduling conflicts across global time zones and departments.
Ability to research, arrange, and manage domestic and international travel logistics with high accuracy.
Ability to process expense reports and purchase requisitions accurately.
Excellent organizational skills and resourcefulness to support cross-functional collaboration, including acting as a liaison between the executive office, internal teams, customers, and external partners.
Ability to provide direct administrative support such as scheduling, coordinating events, and managing team-wide special projects from inception to completion.
Willingness and ability to work primarily in an in-office environment at the Santa Clara office, in compliance with company policies, unless on PTO, work travel, or approved leave.
