Job Description
The Workplace Coordinator is responsible for managing the physical office space, vendor relationships, safety, and community-building activities at Planet's Arlington office, ensuring a productive and engaging environment for employees and visitors.
Key Responsibilities
- Manage and oversee facilities operations, including vendor relationships and service tickets
- Ensure safety and security protocols are maintained, including building walkthroughs and access control
- Support office infrastructure by coordinating with IT on network and equipment issues
- Manage inventory of office supplies and kitchen stock
- Coordinate and manage relationships with vendors providing janitorial, catering, and other services
- Administer the local office budget, process invoices, and track expenses
- Plan and execute local office culture and community engagement events
- Manage internal communication channels related to the office
- Coordinate onsite events, including AV setup, room arrangements, and catering logistics
Requirements
- Four years of experience in an administration role such as Workplace or Facilities Coordinator, Administrative Assistant, or Front Desk Associate preferably within a fast-paced environment.
- Ability to thrive and innovate in an ambiguous, emerging office environment, showing resourcefulness and a proactive approach to problem-solving.
- Ability to manage a budget, process invoices, and handle multiple vendor relationships simultaneously.
- Proficiency with Google Workspace Calendar, Docs, and Sheets.
- Knowledge of or willingness to master facilities ticketing systems such as Jira, Canva, and basic design software.
