Job Description
The Workplace Coordinator is responsible for managing the physical office space, vendor relationships, safety, community-building events, and internal communications to ensure a productive and welcoming environment at Planet's Arlington office.
Key Responsibilities
- Manage facilities, vendor relationships, and office operations to ensure a productive and welcoming environment at the Arlington office.
- Oversee safety, security, and emergency preparedness protocols for the office.
- Coordinate with IT and other teams to support office infrastructure and equipment functionality.
- Manage inventory of office supplies and kitchen stock, including procurement and stock levels.
- Supervise vendor services such as janitorial, catering, and specialized office services, including contract renewals.
- Administer the local office budget, process invoices, and track expenses.
- Plan and execute local office culture events and employee engagement activities.
- Manage internal communication channels to keep employees informed about office events, policies, and maintenance.
- Coordinate onsite events, including AV setup, room arrangements, and catering logistics.
Requirements
- Four (4) years of experience in an administration role such as Workplace or Facilities Coordinator, Administrative Assistant, or Front Desk Associate, preferably within a fast-paced environment.
- Ability to thrive and innovate in an ambiguous, emerging office environment, showing resourcefulness and a proactive approach to problem-solving.
- Ability to manage a budget, process invoices, and handle multiple vendor relationships simultaneously.
- Proficiency with Google Workspace Calendar, Docs, and Sheets.
- Knowledge of or willingness to master facilities ticketing systems such as Jira, Canva, and basic design software.

US base salary range of 26.78 - 33.46 USD per hour
