The role involves providing high-level administrative and operational support to senior executives, managing calendars, travel, meetings, and cross-functional coordination to ensure smooth and strategic organizational functioning.
Key Responsibilities
Manage calendars, priorities, and workflows for senior executives to ensure focus on strategic initiatives
Coordinate complex and dynamic schedules across multiple time zones
Arrange domestic and international travel, including flights, hotels, transportation, and visas
Streamline and optimize executive operations through process improvements and consistency
Proactively identify needs, resolve issues, and prepare leaders for meetings and decisions
Liaise with internal and external stakeholders, managing sensitive communications and commitments
Prepare meeting materials, document key actions and decisions, and ensure follow-up
Manage expenses, reconcile budgets, and support events and large meetings
Requirements
Support 2 to 3 senior executives cross-functionally by managing calendars, priorities, and workflows to ensure focus on strategic initiatives and company goals.
Coordinate complex and dynamic schedules across time zones, prioritizing requests with a deep understanding of business priorities.
Manage domestic and international travel arrangements, including flights, hotels, ground transportation, visas, and itineraries.
Partner with other Executive Operations Partners to drive consistency, streamline processes, and optimize executive operations across Planet.
Proactively identify needs, remove barriers, and resolve issues before they arise to ensure leaders are fully briefed ahead of meetings and decisions.
Liaise with internal and external stakeholders, managing sensitive communications and ensuring follow-through on commitments.
Prepare materials, note key actions and decisions, and ensure timely follow-up and execution of deliverables for meetings.
Manage expenses, reconcile budgets, coordinate events, and support large onsite meetings and team gatherings.
Have at least 4 years of experience supporting senior executives, ideally in a fast-paced, high-growth, and global environment working across time zones.
Hold a Bachelor’s degree in a related field.
Demonstrate exceptional organizational and prioritization skills with the ability to manage multiple tasks simultaneously.
Operate with a proactive, solutions-oriented mindset, able to work independently and take initiative with minimal direction.
Maintain a high degree of professionalism, confidentiality, and judgment when managing sensitive information.
Possess solid collaboration and interpersonal skills, with the ability to influence and partner effectively across teams.
Exhibit excellent written and verbal communication skills.
Be proficient in G Suite Google Workspace and modern collaboration tools such as Slack, Zoom, Concur, etc.

US National Salary Range: $89,200 - $111,500 USD
