Job Description

The Executive Assistant at EnergyHub provides strategic support to the leadership team by managing complex schedules, facilitating communication, handling office operations, and ensuring smooth day-to-day functions in a fast-paced environment, acting as a trusted partner and operational backbone for the company.

Key Responsibilities

  • Manage complex scheduling and calendar coordination for executives across multiple time zones
  • Prepare for high-stakes meetings by creating agendas, materials, briefs, and follow-ups
  • Facilitate internal communications and support executive alignment across teams
  • Handle sensitive information with discretion and maintain confidentiality
  • Coordinate travel logistics and daily operations for executives
  • Build and refine scalable administrative processes for executive support
  • Manage relationships with vendors, service providers, and landlords to ensure timely invoicing and payments
  • Oversee company credit card management and expense submissions
  • Coordinate weekly office activities and general office duties

Requirements

  • Work from the Brooklyn office 4-5 days per week.
  • Serve as a right-hand partner to the CEO, acting as an extension of their time, energy, and judgment.
  • Manage complex scheduling and calendar coordination across time zones with precision and thoughtfulness for three executives.
  • Prepare for high-stakes meetings by creating agendas, materials, briefs, and follow-ups to ensure top-tier execution and communication.
  • Facilitate internal communications and support executive alignment across functions and teams.
  • Handle sensitive information with discretion and professionalism, maintaining absolute confidentiality.
  • Coordinate travel logistics and day-to-day operations.
  • Build and refine scalable administrative processes that keep the executive function running efficiently.
  • Manage relationships with vendors, service providers, and landlords, ensuring all items are invoiced and paid on time.
  • Manage the company’s corporate credit card, ensuring invoices are submitted and paid on time.
  • Coordinate weekly EnergyGrub for the Brooklyn office, considering dietary restrictions.
  • Possess a minimum of 8 years of experience in executive support, business operations, or a similar function in tech, startup, or fast-paced environments.
  • Demonstrate the ability to stay calm, clear-headed, and focused under pressure.
  • Be curious, proactive, and solution-oriented, always two steps ahead.
  • Be highly organized and detail-oriented, ensuring nothing slips through the cracks.
  • Exhibit exceptional communication skills with strong emotional intelligence and sound judgment.
  • Possess the legal right to work in the location without requiring sponsorship or immigration support.

Benefits & Perks

Compensation/salary range: $100,000 - $150,000 USD
Work schedule: 4-5 days per week in Brooklyn office
