The role involves providing high-level executive support to the CEO, managing complex calendars and communications, preparing strategic materials, coordinating meetings and office operations, and supporting organizational culture in a dynamic, purpose-driven renewable energy company.
Key Responsibilities
Manage and prioritize the CEO's complex and evolving calendar, including meetings, events, and strategic priorities.
Prepare executive-level materials such as presentations, briefing documents, and correspondence for the CEO.
Coordinate and assemble board materials, ensuring timely distribution and follow-up on action items.
Act as a liaison between the CEO and internal/external stakeholders, including senior leadership and board members.
Support VPs with calendar management, scheduling, and preparing leadership materials.
Coordinate logistics for meetings, conference calls, and video conferences.
Create PowerPoint presentations and manage travel arrangements, itineraries, and expense reports.
Oversee day-to-day office operations, including managing office supplies, shipping, receiving, and supporting new hires.
Plan and execute internal events and meetings, including logistics and catering arrangements.
Requirements
Minimum five years of experience as an Executive Assistant, including former experience as a C-level executive assistant
Bachelor’s Degree or equivalent work experience
Exceptional judgment and the ability to be discreet on sensitive matters
Ability to interact comfortably and effectively with employees of all levels, including C-Suite executives
Flexible and able to adjust to changing priorities, with the ability to multi-task
Advanced proficiency in the Microsoft Office suite (including PowerPoint, Word, Excel, Outlook)
Must be self-directed and able to complete projects with limited supervision
Ability to manage a highly complex and ever-evolving calendar, including meetings, events, and strategic priorities
Ability to prepare executive-level materials, including presentations, briefing documents, and correspondence
Ability to coordinate and assemble board materials, including collecting inputs, formatting, and ensuring timely distribution
Track action items from executive meetings and ensure timely progress and accountability
Support to VPs in managing complex calendars, priorities, and scheduling conflicts
Coordinate logistics of meetings, conference calls, and video conferences
Create PowerPoint presentations and manage complex and fluctuating schedules
Coordinate and book travel, prepare itineraries, and manage, submit, and reconcile travel and entertainment expenses, including tracking receipts and ensuring policy compliance
Oversee day-to-day office operations, including coordinating with building management, handling shipping and receiving, and maintaining a well-organized workplace
Support internal events and meetings, including planning logistics, managing weekly lunches, and arranging catering
Ability to work in a hybrid schedule with 3 days in the Chicago office per week
