Job Description

The Business Services Team Manager at Canonical is responsible for overseeing travel, logistics, event planning, and administrative services to support company operations and large-scale events worldwide, ensuring efficiency, safety, and compliance in a fast-paced, global tech environment.

Key Responsibilities

  • Lead travel procurement, logistics, and operations for large-scale company events
  • Coordinate and manage complex travel arrangements, visas, and safety protocols
  • Oversee expense claim approval processes to ensure fairness and compliance
  • Plan and execute company events, including venue selection, scheduling, and safety reviews
  • Provide executive administrative services, including scheduling meetings and coordinating reports
  • Manage small projects or initiatives related to travel, events, or logistics
  • Ensure adherence to health, safety, and duty of care policies across global operations
  • Set and enforce policies related to travel, expenses, and event management
  • Lead and manage the travel and event team, ensuring effective coordination and accountability

Requirements

  • An exceptional academic track record from both high school and university.
  • An undergraduate degree in a technical or business subject.
  • Drive, and a track record of going above-and-beyond expectations.
  • Leadership and management skills.
  • Demonstrable good judgement in matters involving money, policy and in-person interactions.
  • Ability to work in a global, multicultural organisation.
  • Excellent interpersonal skills, curiosity, flexibility.
  • Responsibility, accountability, thoughtfulness and self-awareness.
  • Result-oriented, with a personal drive to meet commitments.
  • Ability to travel up to four times a year, for company events up to two weeks long.
  • Experience in travel industry, project management, event management and operations, or business and corporate administration (preferred but not mandatory).
  • Experience in planning and managing complex company events four times a year.
  • Ability to coordinate travel approvals, logistics, and operations, including handling visas, travel complications, and unexpected situations.
  • Experience in expense review in line with policies.
  • Ability to coordinate with suppliers and work across teams.
  • Experience in managing small projects or initiatives.
  • Excellent judgment and interpersonal skills to hold people accountable and defend policies.
  • Work ethic to move quickly through a large volume of work.
  • Ability to participate in every company event, from planning and venue selection to safety reviews.
  • Ability to set and deliver expectations on travel approvals, logistics, and expense policies.
  • Ability to manage and oversee the team responsible for travel approvals, logistics, operations, and expense review.
  • Ability to handle delegated approvals for travel and expenses.
  • Ability to participate in the planning and operational aspects of company events, including venue selection and safety reviews.
  • Ability to establish personal relationships with team leaders and ensure events run smoothly.
