Provides administrative and project support to senior leadership in large-scale architecture, engineering, or interior design projects, including communication, documentation, scheduling, budgeting, and coordination tasks to ensure project efficiency and client satisfaction.
Key Responsibilities
Support senior leadership with large-scale projects, including communication, documentation, and meeting notes.
Coordinate project updates, deliverables, and prepare weekly status reports and presentations.
Assist in reviewing project performance and maintaining project financial and key data records.
Prepare complex spreadsheets, databases, and manage project documentation and logs.
Facilitate project scheduling, meeting organization, and onsite client meetings.
Support project proposal, contracting efforts, and ensure projects stay within budget.
Collaborate with project teams and external stakeholders to monitor project workflows and processes.
Requirements
Associates degree in a related field is required.
Minimum of 8 years of experience performing in related roles is required.
Experience working with executives, senior level teams, and interface with clients is required.
Strong verbal and written communication skills as well as presentation skills are required.
Ability to work in a team setting, with strong time management and organizational skills is required.
Ability to handle multiple projects to meet required deadlines is required.
Accuracy, detail-oriented, and ability to follow through on a timely basis is required.
Ability to work independently with limited direction is required.
Ability to manage sensitive and confidential information is required.
Strong proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint is required.
Travel as needed is required.
Experience with video and audio meeting technologies is required.
MS Project schedule development experience is required.
Assist with project staffing data in Deltek Vision Project Resource Planning is required.
Prepare and coordinate project documentation, reports, memos, and presentations as part of project support activities is required.
Coordinate with internal and external team members to obtain and collate project updates, deliverables, and weekly recaps to prepare weekly project status email is required.
Support project leaders in reviewing project program performance and help formulate new efficient processes while maintaining critical workflows is required.
Facilitate weekly updates of project financial reports and coordinate evaluation and control of project budget is required.
Monitor project plan and flow of processes across the program including agreements, quality plans, accounting, legal, basis of design, and general office practices is required.
Maintain project records including key project data, financial data, correspondence, contracts, and other documents according to firm standards is required.
Work with individual Project Managers to prepare approvals for scope of work additions and approve and process payables for services is required.
Assist with report generation and organize onsite client meetings as needed is required.
Coordinate with Project Controller and Accounting for leadership engagement and reporting is required.
Assist with project staffing data in Deltek Vision Project Resource Planning is required.
May supervise lower-level Project Administrators or Administrative Assistants is required.
Perform other duties as assigned is required.
