Job Description
Provides administrative and project support to senior leadership in large-scale architecture, engineering, or design projects, including communication, documentation, scheduling, financial tracking, and coordination with internal and external teams.
Key Responsibilities
- Support senior leadership with large-scale projects, including communication, documentation, and meeting notes.
- Coordinate project updates, deliverables, and prepare weekly status emails and reports.
- Assist in reviewing project performance and maintaining project financial and key data records.
- Prepare project memos, presentations, complex spreadsheets, and database work.
- Manage project schedules, organize meetings, and facilitate onsite client meetings.
- Coordinate with project teams, legal, accounting, and other departments for project processes and approvals.
- Support project proposal, contracting efforts, and maintain project files according to standards.
- Assist with project staffing, budgeting, and financial tracking, including approval processes and payables.
- Supervise lower-level administrative staff and assist with marketing tasks as needed.
Requirements
- Associates degree in a related field is required.
- Minimum of 8 years of experience performing in related roles is required.
- Experience working with executives, senior level teams, and interface with clients is required.
- Strong verbal and written communication skills as well as presentation skills are required.
- Ability to work in a team setting, with strong time management and organizational skills is required.
- Ability to handle multiple projects to meet required deadlines is required.
- Accuracy and being detail-oriented with the ability to follow through on a timely basis are required.
- Ability to work independently with limited direction is required.
- Ability to manage sensitive and confidential information is required.
- Strong proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint is required.
- Experience with video and audio meeting technologies is required.
- Travel as needed is required.
