This role involves providing regional administrative leadership, supporting office staff, developing processes, managing office operations, and ensuring a professional, client-focused environment across multiple offices within a professional services firm.
Key Responsibilities
Provide regional administrative leadership and support for office staff
Design and implement processes supporting firm policies and ensuring consistency across the region
Coordinate office upgrades, moves, and openings in collaboration with project and office leaders
Promote engagement strategies and organize office events and initiatives
Manage overhead, marketing costs, and resource requests in partnership with finance and leadership
Lead and oversee office managers and administrative staff to ensure high-quality, client-focused service
Create and maintain procedures for visitor reception, office environment, and professional conduct
Coordinate IT support and manage property concerns for regional offices
Manage administrative tasks such as scheduling, travel arrangements, drafting contracts, and expense reports
Organize and oversee internal and milestone events, including external service arrangements
Standardize inventory management and supplies for the region
Support onboarding and training for new staff and office managers
Manage mail and delivery services for incoming and outgoing packages
Ensure compliance with record retention policies and confidentiality standards
Identify operational issues and develop solutions in collaboration with regional leadership
Requirements
Minimum of eight years of relevant experience required with ten years of relevant experience preferred.
Minimum of two years of related supervisory experience required, with four years of related supervisory experience preferred.
Minimum High School Diploma or GED required; Associates degree preferred.
Capability of performing in a leadership role for single and multiple offices with strong managerial skills.
Experience working in a professional services firm preferred.
Excellent verbal and written communication skills.
Strong attention to detail and focus on accuracy with work.
Ability to work in a highly collaborative and deadline-driven environment.
Proficiency in Microsoft Office Suite is required.
Ability to lift up to 30 pounds.
