Job Description
Assist in managing high-voltage substation construction projects by coordinating logistics, procurement, project setup, and cost control activities to support field and office teams in a fast-paced environment.
Key Responsibilities
- Set up new projects, create job numbers and cost codes, and maintain document control
- Coordinate inbound and outbound materials, test gear, and resolve delivery discrepancies
- Track calibration, custody, and utilization of test equipment to ensure readiness
- Manage short-term rental procurement, compare quotes, issue POs, and track returns
- Draft, route, and reconcile purchase orders, and maintain PO registers
- Prepare and submit monthly billing packages, resolve accounts receivable holds
- Process vendor invoices, assist with collections, and manage customer portals
- Audit timesheets and expense reports, and assist field staff with submissions
- Support project managers with schedules, meeting minutes, RFI logs, and cost updates
Requirements
- 2 to 5 years of experience in construction project support, utility, substation, transmission, or industrial settings, or strong administrative experience in a similar fast-paced environment
- Working knowledge of accounts payable and receivable processes, purchase orders, invoicing, and change documentation
- Proficiency with Microsoft Excel, Outlook, Word, SharePoint, Teams, Deltek, SAP, Oracle, Procore (a plus)
- Ability to manage multiple priorities and deadlines with minimal rework
- Clear, professional communication skills with field crews, vendors, and clients
- Ability to learn substation terminology such as breakers, transformers, relays, and test equipment, and follow basic safety and quality procedures
