Job Description

A Project Coordinator supporting utilities projects in gas, water, and electric sectors, responsible for coordinating project activities, managing documentation, tracking budgets, and ensuring smooth communication among teams, clients, and regulatory agencies.

Key Responsibilities

  • Coordinate with Project Managers and engineering teams to support daily operations on utilities projects.
  • Track project deliverables, manage inventories, and assist with permits and regulatory paperwork.
  • Support project invoicing, monitor budgets and expenses, and assist with accrual tracking.
  • Manage communications with internal teams, clients, and municipalities, including scheduling and documentation.
  • Organize meetings, record notes, and follow up on action items to ensure project progress.
  • Prepare proposals, reports, and internal documentation to facilitate project workflows.
  • Maintain accurate project files and ensure compliance with internal standards.
  • Provide client and customer support to ensure high service levels.

Requirements

  • Must be located in the U.S. and in-office at one of the following Ohio locations: Boardman, Canton, or Columbus.
  • Full-Time employment status.
  • Ability to support project coordination activities for utilities projects in gas, water, and electric sectors, including supporting project managers and engineering teams.
  • Experience or familiarity with coordinating project deliverables, managing project inventories, and assisting in permitting and regulatory paperwork.
  • Ability to support project invoicing, track budgets and expenses, and assist with accrual tracking for specific projects.
  • Strong communication skills to manage communications across internal teams, clients, and municipalities, including emails, documentation, and scheduling.
  • Ability to organize meetings, capture notes, and follow up on action items to keep projects on track.
  • Experience in preparing proposals, reports, and internal documentation to support project workflows.
  • Ability to maintain and ensure accurate project files, documentation, and compliance with internal standards.
  • Experience or familiarity with client and customer-facing support, providing high levels of service and responsiveness.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Experience with SAP or other project management systems is a plus.
  • Exceptional organizational skills with the ability to manage multiple projects simultaneously.
  • Strong written and verbal communication skills for client and team interactions.
  • Ability to work in a fast-paced environment requiring attention to detail and proactive problem-solving.
  • Client-first mindset with a collaborative, team-oriented approach.
  • Ability to manage paperwork, tracking systems, and field coordination support with minimal supervision.
