Support the Executive Operations team by coordinating events, managing travel and administrative tasks, and assisting with process improvements in a fast-paced, collaborative environment, while gaining mentorship and developing skills in executive support and AI workflows.
Key Responsibilities
Coordinate and support event logistics for customer programs, offsites, and company-wide gatherings
Assist with managing executive travel arrangements, hotel bookings, and related logistics
Support administrative processes by building AI workflows, maintaining spreadsheets, trackers, and calendars
Prepare and format internal presentations and slide decks
Participate in team meetings, track priorities, and support operational cadence across departments
Requirements
1 to 3 years of experience in an administrative, coordination, or operations role
Some experience juggling multiple priorities or working cross-functionally
Demonstrated ability to handle confidential information with discretion
Solid proficiency in Google Workspace including Gmail, Calendar, Drive, Docs, and Sheets
Curiosity about or some exposure to AI tools such as Claude, ChatGPT, Gemini for process improvement and productivity
Willingness to learn workflow automation tools like Zapier or similar
Comfortable with Zoom and basic video conferencing
Ability to assist with coordinating customer and prospect programs including Notion tracking, spreadsheets, meeting invites, meeting spaces, hotel bookings, ground transportation, and catering
Ability to support event logistics such as All Hands production, quarterly business review logistics, venue research, managing RSVPs, communications, and day-of logistics including DoorDash tracking and on-site support
Ability to assist with managing complex domestic and international travel arrangements
Assist with hotel bookings and budget approvals in partnership with Finance
Ability to book meeting rooms for local executives and arrange hub access for visiting guests
Participate in weekly EA team syncs and monthly alignment meetings
Track quarterly priorities and ensure weekly updates are completed
Support operating cadence logistics across departments
Assist with presentation reminders and formatting for internal slide presentations
Benefits & Perks
Compensation range: $70,500 to $88,000 (dependent on experience, location, and skills)
