The Service Coordinator at Zeeco is responsible for developing and managing the company's global service capabilities, coordinating service requests, scheduling personnel, tracking training and equipment, and supporting client relationships to ensure efficient and effective service delivery.
Key Responsibilities
Develop and coordinate Zeeco's service capabilities and global service requests
Collaborate with project managers, engineers, and service personnel to prepare proposals and schedule services
Track and manage service orders, scheduling start-up services and coordinating with clients and internal teams
Maintain a database of worldwide service personnel, their capabilities, and potential contract employees
Ensure proper invoicing, obtain purchase orders, and schedule personnel for service delivery
Coordinate visas, documentation, and training requirements for international and site-specific access
Monitor and update personnel certifications, training expiration, and PPE compliance
Inventory tools and equipment for service technicians and manage shipping logistics
Assist with travel arrangements for service engineers
Ship parts and equipment as needed
Build client relationships and follow up on potential service opportunities
Work with management and marketing to identify business growth opportunities and develop outreach materials
Support service rate maintenance and assist with resolving critical client or operational issues
Requirements
Experience in developing and coordinating service capabilities, including global service requests.
Ability to work with project managers, applications engineers, global locations, and service personnel to provide proposals for Zeeco service.
Developing a system to track orders requiring start-up services, scheduling shipments, and coordinating services with clients, projectors, or other Zeeco offices.
Attending weekly and bi-weekly scheduling meetings with customers and Zeeco team members.
Building and maintaining a list of Zeeco worldwide employees' service personnel and their capabilities, as well as potential contract employees and companies, to utilize when service opportunities arise.
Obtaining and assembling documentation to ensure service trips are properly invoiced in a timely manner.
Obtaining purchase orders, ensuring Terms and Conditions are acceptable to Zeeco, and scheduling appropriate personnel to provide service.
Assisting with coordinating visas or documentation required for international travel.
Determining qualifications documentation required to enter facilities, such as TWIC, DISA, etc.
Scheduling site-specific training, geographical specific training, or qualifications required for Zeeco service personnel to enter plants and perform service.
Tracking the expiration of each person’s training to ensure they stay current on items needed to enter facilities.
Keeping track of temporary employees that are drug and alcohol tested.
Ensuring service personnel have the proper PPE to enter facilities and keeping extra PPE on hand for site visits.
Inventorying tools and equipment purchased for and by Zeeco service technicians.
Entering data and updating systems programs like DISA and ISNetworld.
Tracking daily labor as it is applied to in-place Purchase Orders and ensuring Purchase Orders are updated to cover costs before project completion.
Assisting Service Engineers with air travel booking and providing options if needed.
Shipping parts and equipment as needed utilizing in-house shipping logistics.
Building rapport with clients and following up regularly to identify upcoming opportunities.
Working with the Service Manager to determine resources or tools needed to grow business and improve profitability.
Collaborating with the marketing department to develop literature for clients not currently using Zeeco’s services.
Working with Service Manager and Product Line Directors to maintain service rates.
Supporting critical issues with the Controls Manager as needed, including tracking purchase orders and client documentation resolution.
