Job Description

A Service Coordinator responsible for managing administrative tasks, project documentation, customer inquiries, scheduling, and supporting internal and external stakeholders to ensure smooth operations within a fast-paced environment.

Key Responsibilities

  • Coordinate project documents, including drawing control and file management
  • Assist in customer quoting process and enter inquiries and quotes
  • Generate sales orders and update technician paperwork
  • Schedule jobs, safety trainings, and new hire training sessions
  • Research outstanding billing issues
  • Issue shop releases and shipping lists for production
  • Perform administrative tasks such as shipping, receiving, meeting coordination, filing, and copying
  • Create project documents using Word, Microsoft Project, and Excel
  • Gather receipts and reports for invoicing
  • Manage service truck inventory

Requirements

  • Ability to work efficiently in a fast-paced environment.
  • Coordinate all project documents including document drawing control and project file management.
  • Assist in the customer quoting process to ensure that each customer receives what they are requiring.
  • Enter customer inquiries and quotes.
  • Generate sales orders.
  • Update and manage technician paperwork.
  • Assist with scheduling jobs and safety trainings.
  • Research outstanding billing issues.
  • Issue shop releases and shipping lists to the shop for production purposes.
  • Create various project documents using Word, Microsoft Project, and Excel.
  • Perform administrative duties such as shipping and receiving, coordinating meetings, filing, organizing, and making copies when needed.
  • Produce a variety of reports as deemed necessary.
  • Assist with gathering receipts, reports, and other information for invoicing purposes.
  • Make travel arrangements.
  • Schedule new hire training including booking meeting rooms, ordering office supplies, ordering uniforms, and producing agendas.
  • Assist with managing service truck inventory.
  • Possess a Bachelor's degree (preferred).
