Job Description

The Project Expeditor is responsible for supporting and expediting project execution by managing procurement plans, tracking critical project milestones, coordinating with vendors, and ensuring timely delivery of documents and materials, primarily focusing on flare products within Zeeco's engineering environment.

Key Responsibilities

  • Support and expedite project execution by developing procurement plans and maintaining schedule accuracy
  • Create and update high-level project milestone schedules, including critical dates for documentation, invoicing, shop releases, purchase orders, and shipping
  • Track and obtain critical project documents and quotations from vendors to ensure timely submissions
  • Coordinate shipping arrangements with vendors to meet project schedules and logistical requirements
  • Monitor production progress through regular follow-ups with vendors and manufacturing teams
  • Negotiate and discuss proposals with vendors post-quotation
  • Provide status reports on overall project progress and activities to management
  • Assist in creating and modifying project execution presentations and documentation using various software tools

Requirements

  • Bachelor's degree or equivalent required
  • Minimum of 5 years of professional experience
  • Knowledge of all Zeeco products, with a focus on Flare products and technical requirements
  • Ability and willingness to travel 10-20% of the time, both domestic and international
  • Support and expedite project execution by assisting in the development of procurement plans and maintaining their accuracy and relevance throughout the project lifecycle
  • Support the creation and ongoing updates of high-level project milestone schedules, including critical dates for document submissions and approvals, invoice submission and collection timelines, shop release milestones, major purchase order placement, and shipping schedules
  • Proactively track and obtain critical documents such as ITP, drawings, NDE Procedures, WPS PQRs, Weld Maps, and quotations from subvendors to ensure timely submissions
  • Coordinate shipping arrangements with vendors to ensure adherence to project schedules and logistical requirements
  • Conduct regular follow-ups with vendors and internal manufacturing teams to monitor production progress, secure schedule and forecast details, and update the project team on inspection and quality plans
  • Follow-up on written or verbal correspondence with vendors during quotation phase and visit vendors post-proposal issuance to discuss and negotiate proposals
  • Provide status reports to management on overall project status and activities
  • Assist with the creation and modification of project execution presentation documents using Microsoft Office (including Excel, PowerPoint, Publisher, Project) and all web-based systems
  • Work with management to determine updated skills and tools needed to improve performance and knowledge
