Job Description
The role involves providing high-level administrative support to multiple executives, including managing calendars, travel arrangements, expenses, and coordinating meetings and events, primarily in a remote work environment.
Key Responsibilities
- Manage and optimize multiple executive calendars
- Plan and book complex travel itineraries
- Manage all work-related expenses
- Assist in creating and managing agendas for departmental staff meetings
- Organize and plan internal events and team-building activities
- Coordinate meetings, handle email correspondence, and liaise with departments and stakeholders on behalf of executives
- Anticipate and respond to executive requests promptly
- Perform general administrative duties and handle ad hoc requests
- Support teams with tooling and AI solutions
Requirements
- Minimum 2-3 years of professional experience, preferably in an office setting, with the ability to fully work remotely
- Bachelor's degree or equivalent
- Strong problem-solving skills and attention to detail
- Be a self-starter and have the ability to organize, multitask, and prioritize
- Strong communication skills, both written and verbal, in English
- Ability to be resourceful, flexible, and proactive with a strong bias to action
- A strong sense of direction around sensitive scenarios, confidential information
- Familiarity with tech environments and a strong understanding of how business works
- Experience using G-Suite, Microsoft Office, Zoom, Expensify, Jira, Netsuite, Slack, and AI tools such as ChatGPT or Gemini
- Familiarity with other tools like Envoy, Tableau, Lucidchart, and Spark
