Job Description

The Payroll Manager oversees the end-to-end payroll process for approximately 1,200 employees, ensuring accuracy, compliance, and efficiency while managing a payroll team and collaborating with HR and Finance departments.

Key Responsibilities

  • Oversee and manage the full-cycle payroll process for a multi-state workforce, ensuring timely and accurate payroll processing.
  • Supervise and support a payroll team, providing mentorship and workflow coordination.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Review and approve payroll entries, adjustments, retroactive payments, garnishments, and tax withholdings.
  • Ensure accurate and timely filing of payroll taxes and statutory reporting, including W-2s.
  • Partner with HR and Finance to reconcile payroll-related accounts and support audits and month-end close processes.
  • Manage payroll systems, including system upgrades, integrations, and vendor relationships.
  • Stay updated on payroll regulation changes to ensure ongoing compliance.

Requirements

  • Maintain accurate inventory records in Oracle WMS, ensuring timely updates for all movements and adjustments to minimize discrepancies.
  • Oversee and manage the full-cycle payroll process for a multi-state workforce, ensuring timely and accurate bi-weekly and semi-monthly payroll processing.
  • Supervise and support a payroll team of two, providing mentorship, performance management, and workflow coordination.
  • Maintain compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Review and approve payroll entries, adjustments, retroactive payments, garnishments, and tax withholdings.
  • Ensure accurate and timely filing of payroll taxes, year-end processes including W-2s, and other statutory reporting.
  • Partner with HR and Finance to reconcile payroll-related accounts and support audits and month-end close processes.
  • Identify and implement process improvements to enhance payroll efficiency and accuracy.
  • Manage payroll systems and act as the point of contact for system upgrades, integrations, or vendor relationships.
  • Stay updated on changes in payroll regulations and ensure company practices remain compliant.
  • Possess a Bachelor’s degree in Supply Chain Management, Business Administration, Finance, Accounting, or a related field, or have equivalent relevant experience.
  • Have at least 7 years of payroll experience, including a minimum of 2 years in a management or senior-level role.
  • Have strong knowledge of multi-state payroll processing, tax regulations, and compliance requirements.
  • Experience with payroll systems such as ADP, Workday, UltiPro, or similar platforms.
  • Demonstrate excellent leadership, communication, and organizational skills.
  • Ability to handle confidential information with discretion.
  • Ability to perform essential job functions in compliance with ADA, FMLA, and other relevant federal, state, and local regulations.
  • Ability to lift and carry up to 10 pounds.
  • Ability to communicate clearly and effectively on the telephone, including listening and speaking.
  • Work in an office setting and manufacturing floor environment, with occasional exposure to noise.
  • Occasionally work extended hours as needed, including occasional or frequent travel for meetings, site visits, or events.
