Job Description
The role involves planning, coordinating, and executing global trade shows and events, managing budgets, vendors, logistics, and on-site activities to create exceptional attendee experiences and support company branding and product launches.
Key Responsibilities
- Manage and execute 7-10 global trade shows and product launches annually, including budgeting and expenditure tracking
- Organize and lead planning meetings with internal teams and third-party vendors across different time zones
- Coordinate logistics, creative marketing, and ensure deadlines are met for events
- Communicate objectives, project status, and updates to team members regularly
- Prepare and manage event budgets, reconcile invoices, and oversee procurement processes
- Create event overviews, staff schedules, and coordinate staff training and event materials
- Collaborate with vendors globally for booth setup, rentals, and logistical requirements
- Manage on-site activities including exhibit setup, event support, breakdown, and ancillary events
Requirements
- 7-10 years of professional experience planning and leading tradeshow events
- Ability and flexibility to travel up to 35% and work overtime as needed to attend events and client meetings including weekends
- Physical ability to lift up to 40 pounds
- Exceptional organizational and project management skills, with the ability to manage and prioritize competing projects and timelines
- Strong communication and interpersonal skills for engaging with global and senior-level stakeholders
- Proficiency with basic computer programs, including the Google Suite, Asana, Zoom, Slack, Cvent, and Mobile event apps
- Bachelor’s degree from an accredited four-year institution
- Ability to manage budgets for shows and events, including reviewing and tracking expenditures, preparing and managing budgets, and reconciling invoices and PO in a timely manner
- Experience managing logistics for trade shows and events, including coordinating with vendors for drayage, electric, shipping, and managing deadlines
- Experience procuring, coordinating, and managing global third-party vendors such as decorators, AV, catering, freight shipping, labor show unions, and show management
- Experience managing on-site activities including exhibit setup, support during show hours, breakdown, and organizing after-hour events and transportation
- Ability to organize and run small events and programs such as ancillary events and hospitality programs
- Ability to prepare event overview presentations, staff schedules, coordinate staff training, and create show survival guides
- Ability to collaborate with exhibit house vendors globally to utilize existing booth property or rental properties, identifying the most cost-effective options
- Ability to manage timelines and deliverables for logistics, creative marketing teams, and ensure critical deadlines are communicated, tracked, and met
- Ability to clearly communicate objectives, project status, and updates to team members on a regular basis
- Ability to work from an office environment in Santa Clara, CA; Bellevue, WA; New York, NY; or Raleigh Durham, NC, in compliance with company policies
