Job Description
The Front Office Executive Receptionist is responsible for managing front desk operations, visitor coordination, facility management, vendor documentation, and providing administrative support to ensure a smooth and professional workplace environment.
Key Responsibilities
- Greet and attend to visitors, employees, and clients professionally
- Manage internal and external calls, providing accurate information or redirection
- Issue access cards, parking stickers, and security HID cards to employees
- Support VIP guest movements and office events
- Assign and track tickets for facility issues and maintain safety checklists
- Handle operational support tasks such as courier services and key management
- Assist with employee onboarding, including providing access and formalities
- Collect and verify vendor documentation, invoices, and MIS data
- Manage meeting room bookings and prepare for meetings
- Follow up on action points from meetings and update trackers and reports
- Respond to emails and communication channels on priority
- Maintain security team attendance, shift schedules, and support security administration
- Provide operational and event support to the admin team
Requirements
- Graduate in any discipline preferred, with 1 to 4 years of experience in front office, facility coordination, or administration.
- Excellent communication and interpersonal skills.
- Must be fluent in Hindi, Kannada, and English.
- Proficiency in MS Office Word, Excel, PowerPoint, and Outlook.
- Strong organizational and multitasking abilities.
- Professional grooming, customer service orientation, and proactive approach.
