The role involves providing high-level administrative support to Vice Presidents and their teams, managing complex calendars, travel logistics, communications, and cross-functional coordination to ensure executive efficiency and seamless operations within a fast-growing tech organization.
Key Responsibilities
Manage complex calendars for executives across global time zones
Coordinate domestic and international travel logistics and expenses
Act as a liaison between the executive office, internal teams, and external partners
Provide administrative support including scheduling, event coordination, and project management
Prioritize and manage incoming communications to ensure focus on high-priority matters
Requirements
Experience managing high-volume, dynamic calendars for senior leaders, including effective prioritization and scheduling across time zones and organizational levels.
Proficiency in using Google Workspace applications such as Gmail, Calendar, Docs, Slides, and Sheets.
Proficiency in using Microsoft Office applications including Word, Excel, and PowerPoint.
Experience in arranging and managing domestic and international travel logistics with high accuracy.
Experience in processing expense reports and purchase requisitions accurately.
Ability to act as a professional and discrete liaison between the executive office, internal organizations, customers, and external partners.
Providing direct administrative support including scheduling, coordinating events, and managing team-wide special projects from inception to completion.
Proactively managing and prioritizing incoming communications such as emails and calls to ensure the VP is prepared and focused on high-priority matters.
Experience working with enterprise platforms such as Workday, DocuSign, ServiceNow, Tableau, and Greenhouse, with the ability to streamline workflows and solve problems within these systems.
Experience leveraging modern tools including AI tools like ChatGPT and Gemini to drive administrative efficiency in a multi-tool, high-velocity environment.
Strong proficiency in written and verbal communication, grammar, proofreading, and handling confidential information with the utmost discretion.
Ability and willingness to work primarily in an in-office environment at the Santa Clara office, in compliance with company policies.
Benefits & Perks
Salary range: $49,000 - $74,000 USD annually
