Job Description
The role involves providing high-level administrative support to a Vice President, including managing complex calendars, coordinating travel and finances, facilitating cross-functional collaboration, and streamlining communication to ensure executive efficiency within a fast-growing tech organization.
Key Responsibilities
- Manage complex calendars for the Vice President and leadership team, including scheduling and prioritizing meetings across time zones
- Arrange and coordinate domestic and international travel logistics and process expense reports and purchase requisitions
- Act as a liaison between the executive office, internal teams, customers, and external partners to facilitate collaboration
- Provide administrative support such as scheduling, coordinating events, and managing team projects
- Proactively manage and prioritize incoming communications to ensure focus on high-priority matters
Requirements
- Proven ability to manage high-volume, dynamic calendars for senior leaders, including effective prioritization and scheduling across multiple time zones and organizational levels.
- Expertise in using Google Workspace applications such as Gmail, Calendar, Docs, Slides, and Sheets, as well as proficiency in Concur, Microsoft Office applications including Word, Excel, PowerPoint, and Zoom.
- Experience working with enterprise platforms like Workday, DocuSign, ServiceNow, Tableau, and Greenhouse, with a demonstrated ability to streamline workflows and solve problems quickly within these systems.
- Experience leveraging modern tools, including AI tools such as ChatGPT and Gemini, to drive administrative efficiency in a multi-tool, high-velocity environment.
- Strong proficiency in written and verbal communication, grammar, proofreading, and handling confidential information with the utmost discretion.
- Ability to research, arrange, and manage domestic and international travel logistics with high accuracy.
- Ability to process expense reports and purchase requisitions accurately.
- Excellent organizational skills, proactive and resourceful approach, and ability to anticipate needs and manage complex logistics across global and cross-functional teams.
- Ability to provide direct administrative support, including scheduling, coordinating events, and managing team-wide special projects from inception to completion.
- Work in an in-office environment at the Santa Clara office in compliance with company policies, unless on PTO, work travel, or other approved leave.

Salary range: $43.80 - $66.30 USD hourly pay
