Job Description
The Scheduling Administrator is responsible for coordinating and managing daily schedules for field technicians providing fire protection services, ensuring efficient dispatching, customer communication, and administrative support to meet service standards.
Key Responsibilities
- Create and schedule service and inspection jobs for fire protection services using Field Service Management software.
- Review daily reports to optimize technician schedules and travel time, ensuring productivity standards are met.
- Maintain flexible job schedules to accommodate last-minute changes and disruptions.
- Field emergency service calls and reroute technicians based on location, availability, and skills.
- Assist technicians and customers with schedule-specific questions and escalate issues when necessary.
- Communicate proactively with customers, technicians, and internal stakeholders via software, phone, and email.
- Ensure all job and customer information is accurate and up-to-date for scheduling, invoicing, and job completion.
Requirements
- High School Diploma or GED
- Minimum of 1-year administrative experience
- Scheduling and or dispatching experience preferred, but not required
- Knowledge of or experience with fire life safety or other similar industries preferred
- Advanced computer and software skills, such as Microsoft Office, CRM, ERP, and work order management systems
- Demonstrated excellent customer service and professional etiquette
