The role involves providing high-level administrative and operational support to senior executives, managing calendars, travel, meetings, and cross-functional coordination to enable strategic focus and organizational efficiency.
Key Responsibilities
Manage calendars, priorities, and workflows for three senior executives to ensure focus on strategic initiatives.
Coordinate complex and dynamic schedules across multiple time zones.
Arrange domestic and international travel, including flights, hotels, ground transportation, visas, and itineraries.
Streamline and optimize executive operations through collaboration with other Executive Operations Partners.
Proactively identify needs, resolve issues, and prepare leaders for meetings and decisions.
Liaise with internal and external stakeholders, managing sensitive communications and follow-through on commitments.
Prepare meeting materials, note key actions and decisions, and ensure timely follow-up.
Manage expenses, reconcile budgets, and support events and large onsite meetings.
Requirements
Four (4) years of experience supporting senior executives, ideally in a dynamic, high-growth corporate environment, and global environment working across time zones.
Bachelor’s degree in a related field.
Exceptional organizational and prioritization skills with the ability to manage multiple tasks simultaneously.
A proactive, solutions-oriented mindset able to operate independently and take initiative with minimal direction.
High degree of professionalism, confidentiality, and judgment when managing sensitive information.
Solid collaboration and interpersonal skills, with the ability to influence and partner effectively across teams.
Excellent written and verbal communication skills.
Proficiency in G Suite Google Workspace and modern collaboration tools such as Slack, Zoom, Concur, etc.
