The Hospitality Associate at Panthalassa is responsible for maintaining a high standard of workplace hospitality, supporting daily operations, managing vendor relationships, and creating a welcoming environment for employees and visitors in a fast-paced, technical setting.
Key Responsibilities
Maintain shared spaces and ensure readiness of conference rooms and collaboration areas
Manage daily kitchen and food service operations, including inventory, cleanliness, and safety standards
Coordinate vendor services, maintenance, and supplies for hospitality needs
Support meeting setup, resets, and quick turnarounds between sessions
Create a welcoming experience for employees, guests, and vendors
Assist with administrative tasks such as mail distribution, shipping, and vendor coordination
Support organization-wide hospitality programs, including weekly meals and event logistics
Respond promptly to workplace needs, troubleshoot issues, and propose improvements
Requirements
Minimum of 2 years of experience in workplace operations, hospitality, events, facilities support, retail, or other high-touch service environments.
Ability to operate independently in an onsite role with minimal day-to-day oversight.
Strong organizational habits and familiarity with checklists, inventory tracking, and digital workplace tools such as email, chat, ticketing, or task systems like Atlassian.
Familiarity with food safety best practices; Food Handler card is a plus or willingness to obtain one.
Ability to lift and carry supplies, move furniture, and be on your feet for extended periods.
Service-oriented with a strong sense of ownership for the quality of the workplace experience.
Proactive and observant, capable of anticipating needs rather than simply responding to requests.
