The Executive Coordinator provides high-level administrative and operational support to the board, executive team, and directors of Industrious Labs, helping to coordinate meetings, travel, communications, and special projects in a remote, mission-driven environment focused on climate justice and industrial transformation.
Key Responsibilities
Support the board by scheduling meetings, preparing agendas, taking notes, and drafting minutes
Provide executive-level administrative support to remote executives, including managing calendars, arranging travel, and processing expenses
Assist directors with planning and logistics for in-person convenings and administrative support
Enter and update CRM data to support relationship management and fundraising efforts
Administer software and subscription procurement and management
Support operational and project-based duties as assigned
Requirements
Proven ability to manage multiple priorities and deadlines with exceptional organizational skills.
Superior written and verbal communication skills, with the ability to interact effectively at all organizational levels.
Proficiency with IT platforms including Zoom, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace, with ease in hosting virtual meetings and webinars.
Ability to handle sensitive information with integrity, respect, and care for all individuals involved.

Demonstrated experience working across lines of race, class, gender, and geography.
Experience in providing executive-level administrative support to remote executives, including managing complex calendars and appointments.
Experience assisting with scheduling, reminders, and logistics for virtual and in-person board meetings, including preparing agendas, taking notes, and drafting minutes.
Experience arranging travel and processing expenses upon request.
Ability to support virtual meeting hosting and conferencing as needed.
Experience supporting planning and logistics for up to 10 in-person convenings per year for remote directors.
Experience entering and updating CRM data in support of relationship management and fundraising activities.
Experience administering software and subscription procurement and management.
Ability to support operational or project-based duties as assigned.

Benefits & Perks
Compensation/salary range: $43.75 per hour
Work schedule: Minimum of 20 hours per week, part-time
Work environment perks: Work-from-home stipend, up to 5% 401k employer match, 11 paid holidays, unlimited PTO with a minimum of 8 business days
Additional benefits: Yearly prorated compensation of $6,000 to offset health coverage costs (medical, dental, vision not provided for part-time employees)
