Job Description

This administrative assistant role involves providing organizational support to the Global Business Development team, including coordinating meetings, travel, onboarding, and workflow processes, while ensuring smooth office operations and effective communication within a growing company.

Key Responsibilities

  • Coordinate daily requests such as meetings, events, travel arrangements, and conference registrations
  • Assist with onsite vendor visits and provide meeting coordination and IT support as needed
  • Manage onboarding and offboarding processes for new hires, interns, and contractors
  • Partner with HR to handle onsite interview logistics
  • Coordinate workflow processes across divisions to ensure proper handling of team requests
  • Analyze workflows to identify and implement administrative improvements
  • Respond to employee inquiries about administrative policies and communicate updates to management

Requirements

  • At least 2 years of experience with administrative work involving inquiry and recommendations that led to the improvement of administrative procedures, practices, or programs
  • Demonstrated ability to work in a complex department, maintain diverse sets of information, and apply policies and guidelines
  • Motivation and passion for getting work done in a consistent and thoughtful way, both independently and collaboratively
  • Ability to organize work and meet deadlines while faced with many interruptions and competing priorities
  • Refined written and verbal communication skills that provide clear and concise information which can be used in reports and formal correspondence
  • Proficiency with the Microsoft Office Suite and comfort with a variety of online systems
  • High school diploma
