The Administrative Associate II supports the Business Services department by handling administrative tasks such as event planning, meeting coordination, program support, and office management in a dynamic, fast-paced environment.
Key Responsibilities
Provide administrative support to the Business Services department
Manage reception duties for the Oakland office
Organize and record minutes for meetings
Support program activities such as claim form organization and invoicing
Update internal budget tracker
Answer calls and manage meeting space calendars
Follow up with reminders for scheduled meetings and events
Coordinate team meetings, team-building events, and offsite planning
Assist with travel coordination and emergency preparedness planning
Support company events in collaboration with the Administrative Professionals Team
Support other functional groups when peers are out of the office
Support ad-hoc projects as directed by the Operations team and supervisor
Requirements
High School degree or equivalent
2-5 years of administrative experience in a fast-paced office environment
Intermediate proficiency in the MS Office suite including Outlook, Word, Excel, and PowerPoint; skills tests will be required during the interview process
Ability to support ad-hoc projects as directed by Operations team and supervisor
Strong business writing ability with strong spelling, punctuation, and grammar
Exceptional time management, organizational, and multi-tasking skills with strong attention to detail
Ability to work both independently and collaboratively while juggling competing priorities
Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks
Must be able to learn and practice aseptic cleaning techniques throughout the office
Willingness to support company events and functional groups as needed
Ability to answer calls, manage calendars, and follow up with reminders
Support for organizing claim forms, sending to clients, assisting with invoicing, and updating internal budget tracker
Support for meeting planning including taking and organizing meeting notes and recording minutes
Support for travel coordination and emergency preparedness coordination
Support for team meetings, team building events, offsite planning, and celebration coordination
Support for other functional groups when peers are out of the office
Ability to collaborate with Administrative Professionals Team to support company events
Must be able to pass skills tests during the interview process for MS Office proficiency
Must be able to undergo a background check, drug screen, and provide authorization to work in the U.S. indefinitely
Ability to learn and practice aseptic cleaning techniques throughout the office
