The Administrative Associate II at Energy Solutions provides administrative support to the Business Services department, manages office and event coordination, and assists with program support tasks to ensure smooth operations within a growing, environmentally-focused company.
Key Responsibilities
Provide administrative support to the Business Services department
Manage reception duties for the Chicago office
Coordinate and organize team meetings, team-building events, and offsite planning
Organize and record meeting notes and minutes
Support program activities such as organizing claim forms, assisting with invoicing, and updating budget trackers
Answer calls and manage meeting space calendars with follow-up reminders
Coordinate travel arrangements and emergency preparedness efforts
Collaborate with Administrative Professionals Team to support company events
Support other functional groups when peers are out of the office
Support ad-hoc projects as directed by the Operations team and supervisor
Requirements
High School degree or equivalent
2-5 years of administrative experience in a fast-paced office environment
Intermediate proficiency in the MS Office suite including Outlook, Word, Excel, and PowerPoint; skills tests will be required during the interview process
Ability to support ad-hoc projects as directed by the Operations team and supervisor
Strong business writing ability with excellent spelling, punctuation, and grammar
Exceptional time management, organizational, and multi-tasking skills with strong attention to detail
Ability to work both independently and collaboratively while juggling competing priorities
Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks
Must be able to learn and practice aseptic cleaning techniques throughout the office
Ability to support and coordinate event planning, including team meetings, team building events, offsite planning, and celebration coordination
Ability to organize and record meeting notes and minutes
Experience organizing claim forms, assisting with invoicing, and updating internal budget trackers
Ability to answer calls, manage meeting space calendars, and follow up with reminders
Experience supporting company events and collaborating with Administrative Professionals Team
Support other functional groups when peers are out of the office
Support travel coordination and emergency preparedness coordination
Ability to support multiple functional tasks including calendar management and meeting coordination
Ability to learn and adapt to new communication tools such as Slack
Must be able to pass skills tests during the interview process for MS Office proficiency
Must be able to perform background checks, drug screening, and provide authorization to work in the U.S. indefinitely
