Job Description
The Global Events Specialist at Celonis is responsible for planning, managing, and executing large-scale corporate events and conferences, including the flagship Celosphere, to create memorable experiences that showcase the company's Process Intelligence and AI technologies. The role involves coordinating multiple work-streams, collaborating with internal teams and external vendors, and ensuring seamless event delivery.
Key Responsibilities
- Support and manage multiple work-streams for the Celosphere conference, including logistics, floorplan, staffing, and housing.
- Develop and execute end-to-end strategies for event work-streams to align with the overall event vision.
- Manage agencies and vendors to ensure delivery of innovative, high-impact results within budget.
- Coordinate with internal departments and stakeholders to ensure project alignment and progress.
- Optimize and document processes, and report on success metrics for event work-streams.
Requirements
- Minimum of 5 years working on large-scale corporate events and conferences.
- Experience in physical and digital event organization, execution, and measurement.
- Experience working with a variety of event formats including large-scale conferences, exhibitions, exclusive executive events, and other types.
- Experience in floor plan management including expo halls, staffing, and attendee traffic flow.
- Experience in managing the logistics and handling of sponsors.
- Experience in creating customer journeys and working on event content session topics, as well as event promotion on a variety of channels to translate goals and messaging into attendee experience.
- Strong project and task management skills, including organizing and prioritizing tasks in a project management tool like Monday.com, and executing and tracking multifaceted projects and processes in spreadsheets, slides, and other tools.
- Strong communication skills for coordinating and engaging with multiple stakeholders on projects and presenting to large groups of contributors to ensure alignment and enablement.
- Experience in managing project budgets and reporting on metrics.
- Ability to take ownership of initiatives, projects, and goals with a strong sense of responsibility.
- The agility and flexibility to adapt to a fast-paced environment with multiple priorities and stakeholders at a high-growth company on the cutting edge of AI technology.
- Ability to remain calm, decisive, and problem-solve quickly on show days to prioritize, communicate, and minimize disruptions.
- Willingness and ability to travel to be on-site for major events.
- Willingness and ability to work remotely across time zones, including participating in virtual meetings during off hours.
