Job Description
An Executive Assistant role supporting senior leadership in a fast-paced SaaS company, responsible for managing calendars, coordinating travel, handling administrative tasks, and facilitating team operations and events to ensure smooth organizational functioning.
Key Responsibilities
- Manage complex calendars and coordinate travel arrangements for Engineering Leadership
- Oversee administrative functions including team budget, expenses, invoices, and purchase orders
- Create and maintain team mailing lists, folders, and drives
- Foster cross-functional collaboration across internal teams such as workplace, finance, and HR
- Build operational efficiency and define new operational strategies
- Plan and execute team onsite events and large-scale meetings
- Gauge employee morale and develop strategies to improve employee satisfaction
Requirements
- Minimum of 3 years of relevant work experience in direct executive support, workplace coordination, or program project management.
- Bachelor's degree is required.
- Proven ability to manage time efficiently and prioritize multiple stakeholders, functions, and tasks in an extremely fast-paced environment with a large volume of requests.
- Flexibility to adapt to changing priorities and work in a fast-paced, dynamic environment.
- Experience in identifying gaps and initiating, implementing systems, processes, or programs to address them.
- Extreme attention to detail, highly organized, and responsive.
- Very strong interpersonal skills.
- Excellent verbal and written communication skills.
- Experience working with all levels of management, employees, vendors, and customers.
- Proactivity and demonstrated leadership skills with the ability to influence and motivate teams towards common goals.
- Strong commitment to quality, excellence, and continuous improvement in site operations and customer service.
- Ability to effectively manage and maintain complex calendars for senior leadership, including prioritizing and executing a high volume of requests.
- Experience managing team budgets, travel arrangements, expense processing, invoices, and purchase orders.

- Experience fostering cross-functional collaboration across internal teams such as workplace, finance, and HR.
- Ability to build efficiency and responsiveness into existing operations and help define new operational strategies, such as streamlining onboarding or establishing review processes.
- Experience planning and executing team onsite events and large-scale meetings such as All Hands, QBRs, and leadership reviews.
- Ability to gauge employee morale and develop strategies to improve employee satisfaction through activities like team-building events and recognition programs.

Base salary range: $100,000 - $120,000 USD
