Job Description
An Executive Assistant supporting a senior executive at Celonis, responsible for managing calendars, coordinating meetings, handling documents, organizing events, and supporting various projects in a fast-paced, tech-driven environment.
Key Responsibilities
- Manage calendars, expense reports, and travel arrangements for executives
- Schedule and coordinate meetings, including attendee management and material preparation
- Assist in creating and editing documents and presentations
- Act as the point of contact between executives and internal or external colleagues
- Organize internal events such as global leadership meetings and team events
- Provide support during customer or executive meetings
- Manage own projects independently
Requirements
- Ideally 4 years experience as an Executive Assistant supporting an SVP or VP, ideally in a fast-growing IT Company, Consulting Industry or Banking.
- Experience working in a tech-driven environment supporting Sales Leaders and Teams.
- High interest for Tech topics.
- Self-started, proactive and entrepreneurial attitude.
- Ability to adapt and shift gears to cope with change.
- Critical thinking skills to make informed decisions without having all the answers.
- Strong attention to detail.
- Comfortable providing structure within a dynamic environment and navigating ambiguity.
- Capacity to manage multiple tasks with high flexibility and experience working under pressure with different time zones.
- Very good ability to prioritize tasks.
- Reliable, discrete and service-oriented personality.
- High level of integrity and business ethics.
- Strong team player.
- Advanced Microsoft Office skills.
- Advanced Google Suite skills.
- Perfect command in English, written and spoken.
- Supporting a global function and collaborating with different departments worldwide.
- Supporting the day-to-day business of key company Executives and Senior Managers.
- Supporting calendar, expense report, and travel management.
- Scheduling and coordinating meetings, including attendee management, material preparation, room set-up, and issue resolution.
- Assisting in creation and editing of documents and presentations for internal and external audiences.
- Leading the organization of internal events such as Global Leadership Meetings and Team Events.
- Providing support during Customer or Executive meetings.
