Job Description
A Legal Administrative Assistant supporting the global legal team by managing administrative tasks, document workflows, and communication to ensure smooth legal operations across multiple regions, primarily based in Mexico City with a hybrid work model.
Key Responsibilities
- Support the administrative functions for the legal team across multiple regions.
- Manage legal request intake queues and ensure prompt resolution of inquiries and tasks.
- Provide general administrative support, including contract redlining, document management, and correspondence.
- Coordinate and prepare legal documents for filing, signing, and record-keeping.
- Maintain and organize legal databases and systems.
- Update and manage contractual and policy templates and related workflows.
- Facilitate communication and collaboration within the global legal team.
- Support special projects and initiatives as needed.
Requirements
- Minimum of 2 years of administrative, operations, and/or legal support experience.
- Excellent verbal and written communication skills in both Spanish and English.
- Ability to support US Eastern Standard Time (EST) and Pacific Standard Time (PST) business hours as needed.
- Demonstrated success in managing team inboxes, queues, coordinating tasks, and meeting deadlines within a dynamic work environment.
- Discretion while handling confidential legal information.
- Proficient in Microsoft Office and Google Suite.
- Proficient with AI tooling, including designing and improving AI-powered workflows.
- Bachelor’s degree or equivalent experience.
- Ability to work in a hybrid role based in Mexico City, with at least 3 days per week in the office.
- Physical and mental ability to perform administrative tasks, coordinate workflows, and manage multiple deadlines.
- Knowledge of legal terminology, practices, and documentation.
- Excellent attention to detail and organizational skills.
- Exceptional communication and interpersonal skills, with a focus on team collaboration.
- Adaptability and a proactive mindset to navigate changing priorities and thrive in a fast-paced, innovative environment.
- Ability to work independently and as part of a team.
