Job Description

The role involves providing high-level executive support, managing office operations, logistics, and culture initiatives for a senior leadership team in a fast-paced, innovative tech company, with a focus on fostering a positive and efficient work environment at the Reston, VA office.

Key Responsibilities

  • Manage complex executive calendars, prioritize meetings, and resolve scheduling conflicts.
  • Coordinate domestic and international travel arrangements and process expense reports and purchase requisitions.
  • Serve as a primary point of contact between leadership, internal teams, customers, and external partners.
  • Oversee daily office operations, including supplies, equipment, cleanliness, and security access.
  • Plan and coordinate company events, workshops, team lunches, and off-sites to foster a positive culture.
  • Act as the main liaison for office vendors, partners, and customers, ensuring timely resolution of work orders and building issues.

Requirements

  • Proven success in providing direct, high-level administrative support for a C-level executive or equivalent senior leadership role in a fast-paced environment.
  • Advanced organizational and discretion skills with the ability to handle highly confidential information with impeccable discretion, prioritize conflicting requests, and demonstrate a proactive, anticipatory approach to problem-solving.
  • Demonstrated success in combining high-level administrative support with facility management, office operations, vendor management, and event planning in a physical office setting.
  • Proficiency across Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Microsoft Office, and Zoom, with the ability to swiftly master new enterprise and scheduling platforms.
  • Exceptional interpersonal skills necessary to build positive relationships, greet and assist guests, communicate clearly and professionally with all levels of staff and external partners, and serve as a cultural ambassador.
  • Ability to manage complex calendars, strategically prioritize meetings, and resolve scheduling conflicts across global and cross-functional teams.
  • Experience in researching, arranging, and managing complex domestic and international travel itineraries, and processing expense reports and purchase requisitions with flawless accuracy and compliance.
  • Ability to act as a primary, professional, and discrete point of contact between leadership, internal organizations, customers, and external partners.
  • Experience in managing day-to-day office needs including supplies, equipment, cleanliness, security access, and acting as a culture ambassador for the office.
  • Experience in planning and coordinating company events, workshops, team lunches, and off-sites to foster a positive, collaborative environment.
  • Ability to act as the main point of contact and liaison for all office vendors, partners, and customers, ensuring timely resolution of work orders and building-related issues.
  • Willingness and ability to work onsite at the Reston, VA office once launched, in compliance with company policies, unless on PTO, work travel, or other approved leave.

Salary range: $52.90 - $80.30 USD annually, potentially including incentive pay and equity
